About The Position

The Human Resources Specialist supports day-to-day HR operations with a focus on workers’ compensation, leave coordination, workplace accommodations, employee lifecycle processes, recruitment support, benefits, and HR records. This position works closely with employees, managers, healthcare providers, insurance carriers, vendors, and other partners to ensure HR processes are handled accurately, timely, and consistently. This role helps employees and managers navigate HR processes through clear communication, accurate documentation, and timely follow-up. The role requires strong organization, attention to detail, confidentiality, and sound judgment, as well as the ability to recognize when complex or sensitive matters should be escalated.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • Minimum of three (3) years of human resources experience, preferably in an HR operations, leave, benefits, or compliance-focused role.
  • Experience supporting workers’ compensation claims administration required.
  • Experience using an HRIS or electronic recordkeeping system required.
  • Working knowledge of workers’ compensation claims administration, injury reporting, return to work coordination, claim follow up, and related documentation requirements.
  • Familiarity with FMLA, ADA accommodations, leave of absence processes, and related compliance requirements.
  • Strong attention to detail and the ability to maintain accurate HRIS, benefits, leave, and personnel records.
  • Strong verbal and written communication skills with employees, managers, healthcare providers, insurance carriers, vendors, and other partners.
  • Strong organizational skills and follow-through, with the ability to manage multiple priorities and meet deadlines.
  • Ability to maintain confidentiality, exercise sound judgment, and appropriately escalate complex or sensitive matters.
  • Proficiency with Microsoft Office Suite, HRIS systems, benefits administration platforms, and electronic recordkeeping tools.
  • Maintain a valid Arizona Driver License, acceptable driving record and reliable transportation.
  • Maintain a valid Level 1 Fingerprint Clearance Card.
  • Ability to travel as needed throughout Arizona.
  • Must maintain confidentiality and comply with applicable HR, privacy, and organizational requirements.
  • Must successfully complete required background checks prior to hire and maintain compliance with any periodic checks throughout employment.

Responsibilities

  • Coordinate workers’ compensation claims, leave of absence, and workplace accommodation processes, including documentation, communication, tracking, and follow-up.
  • Serve as a primary point of contact for employees, managers, healthcare providers, insurance carriers, and other partners throughout the process.
  • Monitor deadlines and follow up on outstanding information or documentation to support timely resolution.
  • Support recruitment activities, including resume reviews, phone screens, interview coordination, candidate communication, and other hiring activities.
  • Assist with pre-employment, onboarding, employee changes, and offboarding processes to support a consistent employee experience.
  • Prepare employment and separation documentation and maintain accurate personnel records.
  • Coordinate new hire orientation activities and help ensure required onboarding tasks are completed accurately and on time.
  • Maintain accurate employee information and HRIS records throughout the employee lifecycle.
  • Reconcile monthly benefit invoices by reviewing enrollment information, identifying discrepancies, and coordinating corrections.
  • Maintain accurate benefits information in HRIS and vendor systems, including enrollment changes, qualifying life events, status changes, and other benefits-related updates.
  • Respond to routine employee benefits questions.
  • Support open enrollment and other benefits-related processes through accurate documentation, data entry, and follow-up.
  • Maintain accurate, confidential, and up-to-date personnel, benefits, leave, and other HR records.
  • Assist with HR reports, audits, records maintenance, policy updates, and special projects.
  • Support the development and improvement of HR processes, documentation, and workflows to promote consistency, compliance, and efficiency.
