Mid-Willamette Valley Community Action Agency OUR MISSION: MWVCAA invests in people and their futures to reduce the impacts of poverty. The HR Student Intern will provide general administrative support to the Human Resource Department, such as scanning, data entry, filing, file purging, and tasks such as submitting background check applications or DMV record checks. The HR Student Intern will provide general support to the reception desk and clerical support to HR Team. This is a temporary position and requires on-site attendance up to 19 hours per week; 40 hours weekly are available during June, July, and August. MINIMUM QUALIFICATIONS The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION AND EXPERIENCE High School Diploma or GED. Documented college coursework is required. Degree completion is not required. This position is only available to actively enrolled students pursuing post-secondary education in Human Resources, Business Administration, Psychology or a related field. CERTIFICATES, LICENSES, REGISTRATIONS Driver qualification status is not required for this position. Candidate must pass a comprehensive MWVCAA background screening prior to employment. Successful registration with the Central Background Registry of the Child Care Division is required. Candidates must pass pre-employment and random drug screenings . Emergency skills training such as CPR, First Aid and Narcan Administration preferred. KNOWLEDGE, SKILLS, AND ABILITIES Basic computer skills, including experience with Microsoft Office (Outlook, Word, Teams, Excel), are required. Organizational skills, attention to detail and accuracy required. Oral and written communication skills and ability to respond to requests in a professional manner. Bilingual English/Spanish reading, writing, and speaking capabilities are preferred but not required. A bilingual differential may be available upon successfully passing a bilingual skills test. ESSENTIAL DUTIES AND RESPONSIBILITIES This job description is not intended to be all-inclusive. Employee will also perform other reasonably related business duties as assigned by immediate supervisor and other management as required. Provides support and general assistance to coworkers, HR Supervisor and other HR Management. Provides support for HR events such as New Staff Orientation, Staff Engagement event set-up and tear down, as directed. May provide support to HR Team with flyers, calendar invitations, errands, ordering supplies, and coordinating visitors. Enters data into systems accurately from submitted paperwork. Scanning and attaching documents to employee files. Assures paper and digital filing has been completed weekly and paper files are kept neat, organized, and complete. Participates in personnel file audits, I-9 audits, criminal background audits and drive record audits. Provides support as needed to HR Assistants including responding to email requests pertaining to document updates and data entry, and filing digital documents. Supports front desk duties such as answering phones and granting entry to visitors into the building, distribution of mail, accepting applications for services, copying ID, and preparing documents for forwarding to other in the Agency. Calmly responds to a potential emergency, such as an agitated visitor or client, by calling 911 and following office safety protocols. SUPERVISORY RESPONSIBILITIES There are no supervisory duties in this position. Specific vision abilities required by this job include close vision and ability to adjust focus. Hearing and speaking abilities are required. Occasionally lift up to 50 pounds. Manual dexterity for data entry handling office equipment. Able to move file boxes between floors using stairways (no building elevator available). May need to crouch to do filing tasks. Frequent processing of large amounts of time-sensitive paper and digital files while maintaining accuracy and confidentiality. WORK ENVIRONMENT Indoor, office work environment with frequent interruptions and demands. Frequent noise and distractions in workspaces.
