About The Position

The HR Specialist provides critical administrative and operational support, ensuring the smooth delivery of HR programs, processes, and services. This is a versatile position that supports the regional HR Business Partners and HR Management team with administration of HR data management, employee engagement initiatives, terminations, training, general compliance and general HR inquiries. This is an employee support and internal client facing role that requires confidence, accuracy and timely follow through on requests. The ideal candidate is detail-oriented, highly organized, and passionate about creating a positive employee experience.

  • Bachelor’s degree or equivalent experience.
  • Minimum of 2 years previous experience working in a HR Administrative role or Recruiting function.
  • Strong written and verbal communications
  • Strongly Proficient in Microsoft Office, Word, PowerPoint, Excel
  • 1 year of HRIS or ATS experience, strongly preferred.

Nice To Haves

  • Project management skills preferable
  • Experience with learning and development, training and/or employee relations desired.
  • PHR and/or SHRM-CP, preferred.

Responsibilities

  • Ensures a seamless onboarding experience, from new hire outreach to hosting virtual Welcome Calls and additional intentional touch points.
  • Submits and tracks various bonus types for payroll processing.
  • Submits Tech Form to IT to enable and disable access as requested;
  • Assists with employee verifications and form letters as needed
  • Supports employee relocations and serves as point person for payment arrangements, tracking and drafting agreements.
  • Assists in managing the HR inbox to provide responses to inquiries regarding policies, procedures, and benefits. Escalates to the appropriate subject matter expert as applicable.
  • Assists with the tracking and administration of reductions in force, severance and retention agreements.
  • Produces weekly Workflow Management Reports
  • Assists with drafting performance management forms, and termination letters as requested.
  • Serves as backup to other HR operational roles to include expertise of HRIS entries, Audits and report generation.
  • Responsible for assisting with various system modules as requested for testing, training or required updates.
  • Assists with processing employee changes (promotions, transfers, manager changes, etc).
  • Assists with drafting training content and refreshing details to keep materials relevant.
  • Handles ad hoc projects and tracking for HR Management as needed.
  • Sends HR documents via Docusign for employee signatures, file in Employee Folder
  • Assist with HR audits, policy updates, and compliance initiatives.
  • Tracks and stores all offboarding documents in employee files and moves to the correct folder to ensure compliance
  • Responsible for sending employee exit documents (NCAs and Separation Key Points) and Benefit rollover forms as applicable.
  • Assists with various steps of preparation, training and onboarding of acquisition employees
  • Completes and files initial responses to unemployment claims after with HR review.
  • Helps draft Quarterly Talent Review slide decks for department meetings
  • Assists with various components of the Annual Performance Review
  • Responsible for making timely updates to SharePoint content repository and the HR content pages of the company’s intranet site.
  • Assists with the Career Empowerment programs; uploading and refreshing the Career Path and Catalog to Sharepoint.
  • Participates in live and virtual employee round tables and focus groups as requested.
  • Helps plan, deliver and drive culture, engagement and DE&I initiatives, including in-office events

  • Administers monthly reporting and communications for promotions and employee anniversaries.
