About The Position

The Payroll & Benefits Specialist supports the organization in several areas of payroll, benefits and human resources including administering employee records, ensuring compliance with laws and regulations, and responsible for processing payroll for the company.

  • Bachelor’s Degree (or equivalent) in Human Resources, Business, or related field (or equivalent combination of education and work experience)
  • Minimum 5 years of hands-on payroll experience; HR and benefits experience; Paylocity or similar payroll / time and attendance platform) experience preferred

Nice To Haves

  • Previous experience in working in multi-site organizations preferred
  • Previous experience with employee benefit enrollment, including new hire, open enrollment, and qualifying events
  • Previous experience in the administration of FMLA/Leave of Absence
  • HRIS knowledge and experience working with an external benefit broker
  • SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) certification credential

Responsibilities

  • Complete payroll processing according to company policies and procedures, and applicable wage and hour laws
  • Ensure all payroll updates including new hires, garnishments, terminations, resignations, leaves of absences, wage rate updates, address changes, and name changes are accurate and timely
  • Balance, reconcile, and manage recordkeeping
  • Respond to garnishment / withholding / benefits notices from Friend of the Court, etc.
  • Confirm accuracy of annual W-2 and 1095 statements and oversee distribution to employees
  • Prepare offer letters for production employees
  • Manage new employees through background check process
  • Main contact for pre-employment screening
  • Track and monitor pre-employment drug test and physicals and maintain in Medical folder.
  • Monitor and coordinate (approve) new hire’s start date.
  • Set up new hires in Paylocity’s Onboarding platform prior to their start date
  • Move all new hires from Onboarding platform into Payroll platform, confirming accuracy of all payroll data
  • Maintain I-9 active/termination forms for all locations
  • Monitor/approve 401(k) contributions / changes, track auto-enroll employees
  • Process benefit transactions and requests
  • Track and approve payments of benefits invoices
  • Communicate with benefits vendors
  • Coordinate data transfer to external vendors for services, premiums, and plan administration
  • Ensure accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information
  • Perform quality checks and audits of benefits-related data
  • Respond to 401(k) inquiries from managers and employees about enrollments, plan changes, and contribution amounts
  • Oversee COBRA administration with the company’s third-party administrator
  • Participate in benefits committees (health insurance and 401(k))
  • Notify Office Managers and external professional enrollers about newly eligible employees for health insurance benefits enrollment
  • Compile information requested for annual health insurance benefits census
  • Work with Paylocity to ensure good reporting for annual testing / census data
  • Assist with gathering data for annual 401(k) audit and Benefit Compensation statements
  • Prepare required reports for HR Leadership and benefits broker as necessary
  • Assist with the open enrollment process
  • Prepare, collect and organize data for audits
  • Visit facilities during Open Enrollment and other scheduled times throughout the year
  • Maintain electronic Personnel files for all employees
  • Maintain electronic Medical, Benefits, and Payroll files for all employees
  • Track and monitor random drug screen process, drug screens following workplace accidents, and file them accordingly
  • Maintain Paylocity self-service dashboard with relevant information / postings
  • Respond to verification of employment requests
  • Respond to unemployment insurance requests
  • Monitor and respond to STD/LTD claim information requests
  • Assist the VP of HR and Director of HR with daily functions and projects as required
  • All other duties and responsibilities as assigned
