This role is critical to establishing strong HR fundamentals while remaining flexible and scrappy in a fast paced environment. The HR Operations Specialist owns the day‑to-day execution of core HR processes across the employee lifecycle. This role is ideal for someone who thrives in a build‑as‑you‑go environment, enjoys creating structure, and can balance compliance, efficiency, and employee experience. You will serve as the operational backbone of HR, ensuring accuracy, consistency, and scalability as the company grows.. Please note that this is a hybrid position working out of our corporate office in San Ramon, CA every Tuesday - Thursday and working remotely Mondays and Fridays. .

Requirements

  • Bachelor’s Degree in Human Resources, Business, or related field
  • 4–6 years of experience in HR operations, HR administration, or People Operations
  • Strong working knowledge of HR compliance basics and employee lifecycle management
  • Experience supporting payroll, benefits, and HRIS systems (Rippling
  • Exceptional attention to detail and ability to manage sensitive information with discretion
  • Extensive knowledge of California employment laws with familiarity of employment laws in other states
  • Strong written and verbal communication skills
  • Highly organized, reliable, and proactive
  • Practical, solutions‑oriented mindset (progress over perfection)

Nice To Haves

  • Experience in a startup, early‑stage, or fast‑scaling company
  • HR certification (PHR, SHRM‑CP) a plus but not required

Responsibilities

  • Own and execute end‑to-end employee lifecycle processes including onboarding, off-boarding, job changes, and employee data updates
  • HRIS (Rippling) strategy (final approval with VP, HR), data integrity, oversight and systems governance
  • Maintain accurate and confidential employee records in Rippling and across our benefits systems
  • Manage relationships with HR vendors (benefit brokers, HRIS providers, background check provider, etc.)
  • Serve as the first point of contact for routine employee HR questions, escalating complex, high-risk issues to Senior HR Manager and/or VP, HR as appropriate
  • Ensure HR practices comply with federal, state, and local employment laws (including wage & hour, I‑9s, personnel files, and required postings). Strong focus on California but expanding to multi-state locations
  • Owns audits, workers’ compensation reporting, and documentation requests
  • Responsible for drafting and maintaining HR policies, procedures, and employee handbook updates
  • Partner with Payroll Manager (Payroll is owned by Payroll Manager) and benefits providers to ensure accurate processing and timely issue resolution
  • Responsible for benefits compliance
  • Manage benefits enrollments, changes, and terminations; support open enrollment activities
  • Responsible for compensation administration and audits
  • Build, document, and improve HR workflows that are practical for a small but growing organization
  • Identify opportunities to automate or streamline manual processes without adding unnecessary complexity
  • Support HR projects related to growth, system implementation, or organizational changes
  • Administers employee recognition programs
  • Serves as HR representative on company safety team
  • Administration and execution of the company’s Health and Wellness program
  • Support performance management cycles, employee feedback processes, and engagement initiatives
