Requirements

  • 5+ years of HR operations, payroll, or benefits administration experience; construction or multi-state experience a plus
  • Working knowledge of payroll and HRIS systems; ADP experience strongly preferred
  • Familiarity with multi-state taxes, SUI, garnishments, and workers’ compensation practices
  • Experience with 401(k) plan administration, annual census, and NDT; exposure to plan audits preferred
  • Strong Excel skills and comfort with reporting, reconciliations, and GL uploads
  • Proven ability to manage sensitive data with discretion and maintain data integrity
  • Associate’s or Bachelor’s degree in Business, HR, Accounting, or related field preferred; relevant certifications (e.g., FPC/CPP, SHRM-CP) are a plus

Responsibilities

  • Register for new tax jurisdictions as needed
  • Maintain current tax accounts (school, local, state, SUI, etc.)
  • Research and process tax corrections and amendments
  • Serve as primary point of contact for multi-state workers’ compensation, including coding, projections, and reconciliation
  • Audit participant loans and deferral changes for accuracy and compliance
  • Prepare and manage the annual 401(k) census
  • Coordinate annual nondiscrimination testing (NDT)
  • Manage/assist with the 401(k) plan audit and support external auditors
  • Maintain Fidelity PSW database and records
  • Process owners’ 401(k) monthly uploads and funding
  • Complete the annual workers’ compensation true-up
  • Manage installment payments and maintain documentation
  • Manage time and attendance processes, systems, communications, and controls
  • Maintain ADP database integrity, including updates and audits
  • Create and distribute ADP/payroll reporting
  • Serve as backup for end-to-end payroll processing
  • Prepare payroll projections and forecasting
  • Respond to burden rate requests
  • Assist with maintaining the budget file (salary changes, benefit changes, etc.)
  • Audit and finalize new hires in ADP
  • Maintain Viewpoint and Vista Portal data related to HR/payroll
  • Upload weekly payroll GLs and maintain GL settings in ADP
  • Process owners’ guaranteed payments
  • Coordinate PSP annual bonus payroll run
  • Manage/assist with annual salary adjustments
  • Administer employee referral and service award payments
  • Process garnishments and child support orders in compliance with regulations
  • Process ADP invoice payments
  • Process HireRight payments
  • Reconcile and process monthly benefits payments
  • Assist with annual open enrollment, qualifying events, and benefit changes
  • Serve as primary point of contact for associate benefit questions, ensuring timely, accurate support
  • Prepare and file annual reports: W-2, 1095, EEO-1, VETS-100, AAP, and 5500s
  • Monitor and support Labor & Hour compliance (FLSA).
  • Conduct routine internal audits, including I-9 compliance and related documentation
