We would love to have you join our team in the position of HR Operations Specialist I (Pre-Boarding Specialist)! Position Summary Working under general supervision, the HR Operational Specialist I performs data entry, tracks required information, and supports reporting and training logistics. The role contributes to the efficient operation of talent development processes by ensuring accurate records, timely updates, and responsive customer service. The HR Operations Specialist I (Pre-Boarding Specialist) provides operational support for the district’s recruitment and onboarding processes by coordinating pre-employment activities for licensed, classified, and temporary employees across multiple schools and departments. This role manages offer processing, verifies employment requirements, and ensures completion of pre-employment documentation in accordance with district procedures, licensing requirements, and applicable regulations. This position serves as a point of contact for candidates, hiring managers, and Talent Management staff throughout the pre-boarding process, providing guidance, resolving routine issues, and escalating complex matters as appropriate. The position collaborates with internal departments to support timely hiring, assists with recruitment activities and job postings, and contributes to onboarding communications and materials. Through accurate processing, responsive customer service, and coordination of pre-employment tasks, this role supports efficient hiring operations and a positive onboarding experience for new employees.

Requirements

  • High school diploma or equivalent
  • Two (2) years of experience in administrative support, data entry, or office operations
  • Experience using computer systems, databases, or office software

Responsibilities

  • Enter, update, and maintain employee data within evaluation and HR systems.
  • Assist with user access requests, including account setup, updates, and deactivation following established procedures.
  • Maintain accurate records related to employee evaluations, assignments, and system activity.
  • Review system data for completeness and notify appropriate staff of discrepancies.
  • Track required evaluation activities, timelines, and documentation.
  • Compile data and assist in preparing routine reports for department use.
  • Support data collection processes for internal and external reporting requirements.
  • Respond to routine inquiries from staff and administrators regarding evaluation systems and processes.
  • Provide basic guidance on system use, navigation, and procedures.
  • Escalate complex issues to appropriate staff or supervisors as needed.
  • Maintain organized electronic and physical records in accordance with district procedures.
  • Assist with preparation and distribution of training materials and communications.
  • Provide logistical support for meetings, trainings, and committee activities.
  • Support documentation and recordkeeping related to talent development processes.
  • Work collaboratively with Talent Management staff to support system processes and operations.
  • Coordinate with other departments as needed to ensure accurate data and timely processing.
  • Perform related duties as assigned to support Talent Management operations.
