About The Position

Are you a motivated HR Operations Assistant ready to support HR administration for our U.S. colleagues and streamline local HR processes?At Open-Xchange, we develop and deliver open-source communication and collaboration technologies for email and DNS security that connect millions of people worldwide and enable digital sovereignty. This part-time remote position with approximately 20 hours per week is part of the People / Human Resources team. You will support our HR operations in the United States and serve as a key point of contact for U.S.-specific HR topics. While the People team is primarily based in Germany, this role provides hands-on support from within the U.S. for local HR administration, compliance, and day-to-day operations.

Requirements

  • Bachelor’s degree in a related field preferred, or an equivalent combination of education and previous experience in HR administration, operations, or a similar role
  • Knowledge of labor law and HR best practices.
  • Strong organizational and time-management skills with a high attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong English communication skills and a collaborative, reliable, and solution-oriented working style.
  • Intrinsic motivation to take ownership while contributing effectively to a team environment.
  • Comfortable working in a remote-first environment with multicultural teams across different time zones.

Responsibilities

  • Manage employee records, contracts, and core HR documentation, maintaining data accuracy in HR systems and preparing reports and dashboards as needed.
  • Support payroll preparation, benefits administration (e.g 401K and insurance enrollment), and leave management.
  • Maintain HR systems and ensure data accuracy.
  • Coordinate onboarding and offboarding processes.
  • Support day-to-day HR operations, administrative processes, and employee inquiries.
  • Ensure compliance with federal and state-specific employment laws and regulations (e.g. paid family leave, state disability insurance, unemployment insurance) across multiple US states.
  • Coordinate and ensure smooth communication with external partners and service providers as needed.
  • Ensure adherence to internal policies, labor law requirements, and data protection standards.
