About The Position

The HR Coordinator role is crucial for ensuring the smooth day-to-day operations of the HR department. This position involves handling routine requests with accuracy and a strong service mindset, making employees and candidates feel well-supported. The HR Coordinator is often the first point of contact for HR interactions, playing a key role in shaping the employee experience. Beyond daily tasks, this role contributes to fostering HR's culture by coordinating employee engagement events and crafting internal communications. The position offers exposure to various HR functions including Talent Acquisition, Total Rewards, HRIS, and Onboarding, providing a strong foundation for a career in HR. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. While not focused on independent strategic decision-making, it serves as a valuable stepping stone for such roles. The HR Coordinator works closely with HR Generalists and leadership, who provide guidance and handle more complex issues.

Requirements

  • High school diploma or equivalent required.
  • 1–2 years of experience in an HR support, administrative, or customer service role required.
  • Extreme attention to detail and precision, particularly when executing HRIS data entry and compliance-related tasks.
  • Strong sense of ownership and responsiveness when handling recurring execution tasks (e.g., verifications, claims, audits).
  • Ability to maintain focus and productivity in a fast-paced environment, managing multiple demands simultaneously with minimal supervision.
  • High level of discretion and professionalism when handling sensitive personnel information and confidential documents.
  • Clear, professional written and verbal communication, including company-wide communications.
  • Proficiency with Microsoft Office and Smartsheet; comfort learning HRIS and benefits administration platforms (e.g., UKG/UltiPro, PlanSource).
  • A team-oriented, service-minded, "can-do" approach and eagerness to learn across multiple HR disciplines.
  • Ability to exercise good judgment and know when to escalate an issue.

Responsibilities

  • Coordinate the end-to-end recruitment process, including managing position requests, posting open positions, offer dispositions, employee job change requests, managing high-volume interview schedules, conference room booking, and arranging candidate travel/lodging accommodations.
  • Serve as a professional point of contact for candidates, providing timely updates and feedback.
  • Maintain accurate candidate and requisition records in the applicant tracking system (ATS).
  • Provide administrative assistance for benefits "moments that matter," including processing life events in PlanSource, tracking FMLA/ADA timelines, and initiating background checks.
  • Assist with routine benefits administration tasks, including enrollment tracking, employee questions, and vendor documentation.
  • Help compile and organize compensation data, salary survey inputs, and job architecture documentation.
  • Manage the Worker Compensation (WC) process and serve as a liaison for WC-related matters.
  • Function as the primary point of execution for HRIS activity, managing data entry for new hires, pay changes, and employee transfers.
  • Handle recurring execution tasks such as unemployment claims, employment verifications, and pulling records for department audits.
  • Run standard reports and audits to help ensure data accuracy and completeness.
  • Prepare new hire paperwork, offer packets, and onboarding materials; track completion of required forms and compliance documents.
  • Coordinate new hire orientation logistics, including scheduling, room/technology setup, and communication.
  • Support pre-employment steps such as background checks, drug screens, and license/credential verification tracking.
  • Serve as a friendly first point of contact for new hires during their first days.
  • Manage the logistical planning for employee engagement activities, such as coordinating the fall festival, organizing volunteer opportunities, and ordering milestone awards.
  • Draft and distribute clear company-wide communications regarding staff updates and wellness programs.
  • Maintain secure digital employee files, ensuring offer letters, performance reviews, and other sensitive records are filed accurately.
  • Maintain focus and productivity in a fast-paced environment, managing multiple demands and tasks simultaneously with minimal supervision.
  • Represent the HR team with a can-do attitude and a positive, engaged manner when responding to general HR questions.
  • Handle sensitive personnel information and confidential documents with extreme professionalism and discretion.
  • Utilize business tools such as Microsoft Office and Smartsheet to track departmental projects and recruitment activities.
  • Perform other administrative duties as assigned to support the broader HR team.
