About The Position

SUMMARY: The HR/Benefits Coordinator is responsible for the administration and coordination of employee benefits programs, including health insurance, retirement plans, wellness initiatives, and leave policies. This role ensures compliance with federal and state regulations, supports employee understanding of benefits, and serves as a liaison between employees and benefits providers.

  • Proficiency in HRIS systems and Microsoft Office Suite

Responsibilities

  • Administer employee benefits programs (medical, dental, vision, life, disability, retirement, etc.)
  • Process benefits enrollments, changes, and terminations accurately and timely
  • Conduct benefits orientations for new hires and assist with open enrollment
  • Maintain accurate records of employee benefits and payroll deductions
  • Respond to employee inquiries regarding benefits eligibility, coverage, and claims
  • Collaborate with insurance brokers and vendors to resolve issues and improve service
  • Ensure compliance with applicable laws (ACA, HIPAA, COBRA, FMLA, ADA)
  • Prepare and distribute benefits-related communications and reports
  • Coordinate wellness programs, health fairs, and other employee engagement initiatives
  • Prepare HR-related reports as needed
  • Support recruiting and onboarding:
  • offer letter creation
  • drug screens
  • background checks
  • HRIS data entry
  • New Hire Orientation
  • Support HR team with additional administrative tasks as needed
  • Properly handles client requests on benefits through responsiveness, follow-up, and escalation.
  • Maintains a satisfied level of customer service with clients both internally and externally.
  • Maintains our internal databases with new claim information for worker's comp claims
  • Maintains Worker's compensation files and OSHA logs
  • Manages leave of absence tracking
  • Prepare letters for leave administration and benefit repayments
  • Coordinates with HR/Benefits Manager with wellness initiatives
  • Adjusts ACA acknowledgements for 1095C
  • Assists in audits of benefits plans
  • Assists in audits of 401(k) plan
  • Manages benefits confirmations and new hire enrollment communications
