About The Position

Ernest is currently in search of an HR Administrator for our Corporate office located in the city of Commerce, CA. This is a full-time on-site position that offers a positive, team oriented atmosphere with excellent benefits, and a fantastic company culture. The HR Administrator is a valued member of the HR team and supports daily HR operations while helping create a positive, people-first employee experience. This role maintains accurate HR and DOT records, coordinates onboarding and offboarding activities, assists with benefits and leave administration, and supports HR programs and compliance efforts. The HR Administrative Assistant handles information with care and confidentiality and helps ensure HR processes run smoothly and consistently for employees.

Requirements

  • Associate degree or equivalent combination of education and relevant experience
  • 1–3 years of experience in an HR, administrative, or operations support role preferred
  • Strong professional verbal and written communication skills
  • High level of discretion and professionalism when handling confidential information
  • Extremely organized with strong attention to detail and accuracy
  • Ability to manage multiple priorities, work under time constraints, and consistently meet deadlines
  • Proactive, self-directed, and comfortable working in a fast-paced, collaborative environment
  • Technical proficiency in Microsoft Word, PowerPoint, and Excel, including formatting documents, creating presentations, and working with spreadsheets, formulas, and data tracking
  • Excellent typing and data entry skills
  • Warm, approachable, and professional demeanor
  • Collaborative team player with a genuine desire to support people and contribute to a positive workplace culture
  • Ability to lift up to 15 lbs. and perform physical tasks such as standing, sitting, bending, walking, and navigating facilities as required
  • Ability to work for prolonged periods at a desk and on a computer

Nice To Haves

  • Exposure to Workers’ Compensation administration, benefits, or leave processes a plus
  • Familiarity with HRIS platforms - Paycom Preferred

Responsibilities

  • Serve as a trusted first point of contact for employees by providing clear, scripted guidance on HR policies, processes, and programs
  • Maintain accurate, confidential employee personnel files, records, trackers, and documentation within HR systems
  • Conduct routine audits and generate reports to ensure data accuracy and compliance
  • Provide administrative support to the HR team, such as data entry, filing, responding to general HR inquiries, and preparing reports or communications.
  • Create, ship, and track employee separation packets, coordinating FedEx delivery and follow-up as needed
  • Coordinate pre-employment background checks and drug screenings through approved third-party vendors
  • Deliver a welcoming onboarding experience, ensuring new hires feel supported and confident completing all required forms and system tasks
  • Schedule and coordinate orientations, trainings, and HR-related meetings, including logistics and documentation
  • Provide administrative payroll support, including reviewing employee timecards and generating reports as needed
  • Support the benefits function by assisting with benefit offerings, processing enrollment changes, and handling general inquiries
  • Support Leave of Absence (LOA) mail processing, including benefit check communications and coordination
  • Provide administrative support for Workers’ Compensation claims, including intake documentation, record maintenance, and coordination with employees, providers, carriers, and internal stakeholders
  • Track Workers’ Compensation claims, documentation, and required follow-ups to ensure timely and accurate processing
  • Support compliance with federal, state, and local employment laws and internal policies
  • Maintain HR templates, forms, resource libraries, and tracking tools to ensure consistency and accuracy
  • Manage the distribution, delivery, and posting of required labor law posters across all locations
  • Support HR training programs by coordinating schedules, maintaining materials and recordings, tracking attendance, and collecting feedback
  • Assist with updates to training materials as directed
  • Support HR projects through task execution, coordination, and follow-up
  • Maintain project trackers and prepare meeting notes, action items, and follow-up communications
