About The Position

DivergeIT is seeking an HR Administrative & Office Coordinator to serve as the operational heartbeat of their Torrance headquarters. This role is a three-in-one position that combines front desk reception, HR administration, and executive/personal assistant support. The ideal candidate is organized, discreet, and thrives on variety in a fast-paced environment where no two days are alike.

Requirements

  • 4+ years in an administrative, office coordination, or HR support role
  • Experience in a front-facing reception or customer-service position
  • Track record of supporting multiple functions or executives in a fast-paced environment
  • Hands-on proficiency with Microsoft 365 (Outlook, Word, Excel)
  • Familiarity with HRIS or payroll platforms
  • Proven ability to handle confidential information with discretion and professionalism

Nice To Haves

  • Experience in a professional services environment

  • HR administration experience
  • Bachelor's degree in Human Resources, Business Administration, Communications, or a related field (an equivalent combination of education and experience will be considered)
  • Valid driver's license preferred

Responsibilities

  • Support new-hire onboarding, including background checks, I-9 documentation, and payroll enrollment.
  • Maintain organized and compliant physical and digital employee records.
  • Assist with offboarding processes, including separation documentation and equipment collection.
  • Post job openings, screen applications, schedule interviews, and communicate with candidates.
  • Track HR policy acknowledgments and compliance deadlines.
  • Prepare HR reports, headcount summaries, and audit documentation.
  • Maintain the HR calendar for review cycles, compliance dates, and recognition milestones.
  • Serve as the first point of contact for visitors, vendors, and deliveries at the front desk.
  • Answer and route incoming calls and messages.
  • Manage incoming and outgoing mail, packages, and courier services.
  • Maintain the cleanliness and organization of the front desk, lobby, and common areas.
  • Monitor and replenish office and kitchen supplies, and coordinate with vendors and building management.
  • Coordinate conference room scheduling, meeting logistics, catering, and visitor access.
  • Act as the point of contact for facility issues and office moves.
  • Manage complex calendars for senior leadership, including scheduling and conflict resolution.
  • Coordinate domestic travel arrangements (flights, hotels, ground transportation).
  • Assist with errands, vendor appointments, and ad hoc logistics for leadership.
  • Draft, proofread, and distribute internal communications.
  • Prepare agendas, capture action items, and follow up on open tasks.
  • Handle confidential information with discretion.
  • Support special projects and cross-departmental coordination.
