About The Position

The HR Administrator provides administrative support to the Human Resources department while assisting with recruiting, onboarding, and office administration functions. This role is responsible for maintaining employee records, supporting recruiting and onboarding activities, processing HR documentation, performing data entry, and maintaining accurate records. This position reports to the Human Resources Manager and works closely with Operations, hiring managers, and field leadership teams. The ideal candidate is highly organized, detail-oriented, comfortable coordinating multiple priorities, and capable of managing confidential information in a fast-paced environment. This role offers exposure to Human Resources, recruiting, onboarding, and compliance while supporting a growing organization.

Requirements

  • Bilingual in English and Spanish required.
  • High School Diploma or GED required.
  • Minimum one (1) to two (2) years of administrative, Human Resources, recruiting, data entry, or related office experience.
  • Strong Excel skills, including the ability to organize, analyze, maintain, track, and manage data effectively.
  • Strong data entry skills with a high degree of accuracy and attention to detail.
  • Familiarity with recruiting workflows, candidate communication, interview scheduling, and applicant tracking systems.
  • Exceptional attention to detail with the ability to identify inconsistencies, ask questions when something does not make sense, and ensure accuracy in all work.
  • Strong sense of urgency and willingness to step in and assist when priorities shift or workloads increase to help meet deadlines.
  • Resourceful problem-solver with the ability to research solutions independently and troubleshoot issues before escalating for assistance.
  • Demonstrated common sense and sound judgment with the ability to make practical decisions, think critically, and adapt to changing situations.
  • Basic computer skills and proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong verbal and written communication skills.
  • Valid driver's license and reliable transportation.
  • Ability to work independently and as part of a team.

Nice To Haves

  • Associate degree in Human Resources, Business Administration, or a related field preferred.
  • Relevant work experience may be substituted for formal education.
  • Experience working in a Human Resources, recruiting, administrative, or office support role.
  • Experience with ADP Workforce Now or a similar HRIS system.
  • Experience processing new hire paperwork and maintaining employee records.
  • Experience posting positions, screening applicants, coordinating interviews, and maintaining applicant records.
  • Construction industry experience.

Responsibilities

  • Enter, update, and maintain employee information in ADP Workforce Now or a similar HRIS system.
  • Maintain employee personnel files and ensure records are organized, accurate, and up to date.
  • File, scan, upload, and archive HR documents in electronic and paper filing systems.
  • Collect and review new hire paperwork to ensure documents are complete and properly submitted.
  • Assist with I-9 completion, E-Verify processing, and onboarding documentation.
  • Prepare onboarding packets and distribute company policies, forms, and employee materials.
  • Track the receipt of required employment documents and follow up with employees as needed.
  • Post job openings on approved job boards and maintain accurate, up-to-date postings.
  • Review applications and resumes for minimum qualifications and conduct initial candidate phone screens.
  • Coordinate interviews between candidates and hiring managers, including scheduling, confirmations, and follow-up communication.
  • Maintain candidate records and recruiting activity in the applicant tracking system or designated recruiting logs.
  • Assist with pre-employment requirements, including offer documentation, background checks, drug screens, physicals, and required follow-up.
  • Assist with scheduling new hire orientations and onboarding activities.
  • Respond to routine employee questions regarding forms, policies, benefits contacts, and HR processes.
  • Maintain HR spreadsheets, logs, and reports using Microsoft Excel.
  • Assist with employee status changes, including updates to personal information, job titles, and department assignments.
  • Assist with administrative reporting, auditing activities, and document management.
  • Support HR staff with document preparation, correspondence, and administrative projects.
  • Maintain strict confidentiality of employee and company information.
  • Manage multiple tasks while maintaining a high level of accuracy and organization.
  • Travel occasionally, as needed, to assist with onboarding and administrative support at company locations throughout Virginia, including Sterling, Fredericksburg, and Richmond.
  • Perform other duties as assigned.
