The HR Administrator provides day-to-day administrative support for Human Resources operations in the Permian Basin and serves as an onsite resource for employees, candidates, supervisors, and the corporate HR team. The position supports recruiting, onboarding, employee records, benefits administration, HR systems, and routine employee needs while ensuring information is accurate, timely, and appropriately escalated when additional HR review is required.

Requirements

  • High school diploma or equivalent
  • Bilingual English/Spanish (required)
  • Strong organization and attention to detail
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Strong written and verbal communication skills
  • Comfortable using Microsoft Office and learning HR systems
  • Ability to manage multiple priorities and follow established processes
  • Strong customer-service mindset
  • Ability to work collaboratively with employees and leaders across different locations

Nice To Haves

  • 1–2 years of administrative, customer service, office, or HR support experience preferred
  • Previous HR experience preferred, but not required

Responsibilities

  • Serve as a first point of contact for routine employee questions and HR forms
  • Provide guidance on established PTO and sick-time processes
  • Assist employees with routine benefit card and system access questions
  • Route matters requiring HR judgment, policy interpretation, or additional review to the appropriate HR team member
  • Post and maintain approved job openings
  • Communicate with applicants throughout the recruiting process
  • Coordinate interviews and scheduling with candidates and hiring managers
  • Maintain recruiting documentation and candidate records
  • Maintain accurate candidate status information within recruiting systems and trackers
  • Support hiring logistics in coordination with the HR team and hiring managers
  • Coordinate approved offer and pre-employment activities
  • Coordinate background checks and drug-screening steps in accordance with established processes
  • Support completion of I-9 and E-Verify requirements
  • Coordinate new-hire orientation scheduling and logistics
  • Collect and maintain required new-hire paperwork and documentation
  • Complete routine HR system data entry and updates in accordance with established processes
  • Maintain organized and accurate employee files
  • Track required HR documents and follow up on outstanding items
  • Distribute and track employee policy and document acknowledgments
  • Process approved personnel changes and maintain supporting documentation
  • Support routine audits of employee records for completeness and accuracy
  • Assist employees with routine benefits enrollment and access questions
  • Provide employees with standard benefits and leave forms and information
  • Collect and track required benefits and leave documentation
  • Route leave matters requiring review, interpretation, or case management to the appropriate HR team member
  • Maintain HR reports, trackers, and administrative logs
  • Support distribution of employee communications and HR notices
  • Coordinate training schedules, materials, and logistics as requested
  • Distribute HR documents and maintain appropriate tracking
  • Provide general administrative support to the HR team as needed
  • Coordinate with corporate HR to maintain consistent HR processes across company locations
  • Communicate regional needs, issues, and process gaps to the appropriate HR team member
  • Support implementation of company-wide HR policies, procedures, and initiatives in the Permian Basin
  • Assist with communication and coordination between employees, supervisors, HR, Payroll, Safety, and other support functions
