This role supports the HR Manager while taking ownership of key safety and compliance initiatives across the organization. The HR Administrator plays a critical role in maintaining a safe work environment, ensuring regulatory compliance, while supporting day-to-day HR administrative functions. The ideal candidate will bring strong organizational skills, sound judgment, and the ability to manage sensitive and time-critical matters. Hands-on experience with Workers’ Compensation, fleet accident reporting, and damage tracking is highly preferred. This role requires someone who can effectively coordinate incident reporting, maintain accurate compliance records, and communicate clearly with employees, managers, and external partners. It is well-suited for someone who thrives in a fast-paced environment, can balance multiple priorities, and is passionate about supporting both employee well-being and organizational compliance.

Requirements

  • Background in Human Resources, Safety, Business Administration, or related field (or equivalent experience)
  • 2+ years of experience in Workers’ Compensation, safety, or compliance-related role (preferred not required)
  • Working knowledge of OSHA and DOT regulations (preferred not required)
  • Experience handling incident investigations and claims management (preferred not required)
  • Strong organizational skills and attention to detail
  • Ability to handle sensitive and confidential information with discretion
  • Proficient in Microsoft Office (Excel, Word, Outlook)

Responsibilities

  • Administer all Workers’ Compensation claims, including reporting, documentation, and follow-up
  • Serve as liaison between employees, medical providers, and insurance carriers
  • Monitor claims to ensure timely resolution and cost control
  • Track injury trends and recommend preventative measures
  • Ensure company compliance with OSHA regulations and standards
  • Maintain OSHA logs and required reporting (e.g., OSHA 300, 300A, 301)
  • Works with Designated Safety Manager to conduct safety audits, inspections, and incident investigations
  • Develop and support safety training programs and initiatives
  • Oversee fleet accident reporting, investigation, and resolution
  • Monitor driver compliance, including MVR checks, licensing, and certifications
  • Ensure adherence to DOT and company driving policies
  • Maintain accurate driver qualification files and compliance records
  • Investigate workplace incidents and accidents to determine root causes
  • Implement corrective actions to reduce future risk
  • Track and analyze safety and incident data for reporting purposes
  • Assist the HR Director in gathering and organizing documentation for legal cases
  • Maintain accurate and confidential records related to claims and investigations
  • Coordinate with legal counsel and external partners as needed
  • Assist with recruitment and onboarding processes.
  • Ensure compliance with company policies and procedures.
  • Handle incoming and outgoing calls, emails and mail and correspondence.
  • Assist with Benefits Administration as requested.
  • Assist with Payroll Processing as requested.
  • Address employee concerns and questions related to HR policies.
  • Manage and maintain records, files, and databases.
  • Additional responsibilities and projects as needed to support the company and HR Team.
