About The Position

Under general supervision, performs administrative, office and/or clerical work of moderate difficulty with department-specific responsibility. This role involves a variety of tasks related to record keeping, data entry, document preparation, and public interaction within the housing office.

Requirements

  • High School Diploma or GED equivalent.
  • Coursework in general office procedures.
  • Three years of office work experience.
  • Equivalent combination of education and experience.
  • Successful completion of a background check.
  • Knowledge of County policies and procedures.
  • Knowledge of business English, spelling, and arithmetic.
  • Knowledge of office computer hardware and software applications.
  • Knowledge of clerical and office practices and procedures.
  • Skill in effectively dealing with public inquiries.
  • Skill in making arithmetic computations with speed and accuracy.
  • Skill in maintaining records and preparing reports.
  • Skill in the operation of various office machines/equipment.
  • Skill in following written and verbal instructions.
  • Ability to effectively respond to phone calls, emails, and complaints in a timely manner.
  • Ability to plan, prioritize, manage, and respond to multiple assignments in a fast-paced environment.
  • Ability to read, write, research, synthesize data and detailed reports.
  • Ability to use modern office equipment and computers.
  • Ability to communicate effectively verbally and written.
  • Ability to lift up to 5 – 25 lbs.
  • Ability to perform the essential functions of the job specifications with or without a reasonable accommodation.

Responsibilities

  • Receives, sorts, indexes, files, and retrieves forms, correspondence, and documents.
  • Enters data into computer systems.
  • Formats, composes, and types documents and reports from written drafts and transcriptions.
  • Takes abbreviated notes of meetings.
  • Compiles reports and summaries of work.
  • Checks and completes records, forms, and documents.
  • Develops and maintains office records and files.
  • Receives and responds to correspondence.
  • Operates a variety of office machines.
  • Answers routine and extraordinary questions from the public.
  • Prepares and processes confidential and sensitive documents.
  • Mails out removal and ineligibility letters.
  • Ensures waiting lists are purged on an annual basis.
  • Mails notices and prepares packages for mass briefings.
  • Receives, processes, and enters Section 8 and Public Housing applicants' information into the Lindsey program.
  • Provides back-up for Clerk II to collect payments such as rent, promissory notes, and maintenance charges.
  • Assists with processing work orders when needed.
  • Secures the front office at the end of the day.
  • Performs other duties as assigned.
