About The Position

Entre Nous Femmes Housing Society (ENFHS) is seeking a collaborative and inclusive team member to support the Housing & Property Services team in managing successful tenancies in ENFHS’s affordable and mixed-income rental housing portfolio and providing excellent housing services to residents and stakeholders. The Housing Administrator supports the Senior Housing Manager, Housing Managers and the Housing & Property Services team with administrative tasks, leasing, notices, and resident relations. This dynamic position is for someone looking to progress their career in property management, community engagement, and non-profit housing. The Housing Administrator will report directly to the Senior Housing Manager. The position is part of the Housing & Property Services team, led by the Director, Housing & Property Services.

Requirements

  • A minimum of two to five (2-5) years of administrative experience is required.
  • High-school certificate.
  • Excellent competency in administration and resident/customer relations.
  • Excellent organizational and project management abilities.
  • Excellent interpersonal and conflict-management skills.
  • Aptitude in decision-making and problem-solving.
  • Ability to work independently and well under pressure.
  • Ability to handle multiple demands, tight timelines and competing priorities.
  • An understanding of diversity, equity, inclusion, decolonization, and indigenization best practices and principles.
  • Excellent digital literacy and experience with MS Office Suite Products: Outlook, Word, Excel, Teams, OneDrive, Windows-based operating systems, internet, and mobile technology.
  • Must have access to reliable transportation and a valid driver’s license.
  • The successful candidate must be fully vaccinated against COVID-19 or be willing to get vaccinated before their start date.

Nice To Haves

  • Post-secondary education (i.e. degree, diploma, certificate) in non-profit housing property management, rental property management license or related field would be an asset.
  • Experience in leasing or event management would be an asset.
  • Experience in the non-profit and co-op housing sector would be an asset.
  • Experience working in Arcori or other property management systems would be an asset.
  • Experience with subsidized and market rental housing would be an asset.
  • Lived experience in social housing would be an asset.

Responsibilities

  • Provide general administrative support to the Senior Housing Manager, Housing Managers and Director, Housing & Property Services.
  • Coordinate applicant intake, eligibility reviews, and waitlist management.
  • Coordinate applicant screening, including reference and documentation verification.
  • Schedule and conduct suite showings and leasing appointments.
  • Assist with marketing and promotion of available units.
  • Provide exceptional customer service to residents and stakeholders.
  • Data entry and data processing in Arcori, the Society’s property management system, for rent rolls. Run reports as needed.
  • Ensure all resident information is up-to-date and accurately entered into the Arcori system.
  • Support the Rent Review Coordinator in collecting income documents from residents and ensuring all requirements are met.
  • Draft building-wide and unit notices under the direction of the Senior Housing Manager and distribute them at sites.
  • Support the annual unit inspections, coordinating move-ins and move-outs, resident selection, internal transfers, showing suites and supporting lease agreements and other administrative duties.
  • Support the Senior Housing Manager and Housing Managers to respond promptly and respectfully to residents and community enquiries or complaints.
  • Support the maintenance of current and archived resident lease agreements and files as required.
  • Support the preparation of documentation for RTB hearings and disputes.
  • Support the maintenance of vacancy, internal transfer, and partner organization referral lists.
  • Support resident engagement activities as required.
  • Support general office administration duties as required for staff coverage.
  • Opportunities to support the management of limited sites with the Housing Manager to gain experience in property management.
  • Perform other related duties that might be required.
