Housing Administration Specialist - University Housing
About The Position
Under the general supervision of the Associate Director of Administration & Occupancy Management, the Housing Assignment Analyst is responsible for making on-campus room assignments and maintaining accurate and current housing records for all on campus residents for Cal Poly San Luis Obispo and as needed for Cal Poly Maritime. The department summary states that Cal Poly University Housing (UH) is a department within the division of Administration and Finance that provides a premier living and learning experience for over 9,000 students in residence hall and apartment-style communities. University Housing’s mission is to create a diverse and engaging experience that inspires all residents to Learn by Living.
Requirements
- Equivalent to a bachelor's degree in a related field and two years of relevant experience.
- Additional experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
- An advanced degree in a related field may be substituted for the required education on a year-for-year basis.
Responsibilities
- Assess and identify needs for the housing application system, providing ongoing professional feedback and reviewing related processes.
- Ensure students are assigned housing based on preferences, accommodation needs, and availability.
- Coordinate and evaluate housing assignments for special needs, programs, and requests.
- Collaborate and consult with departments (e.g., Disability Resource Center, EOP) to manage residential space use and assignment priorities.
- Oversee summer housing assignment operations and support special housing projects as needed.
- Manage, process, and troubleshoot complex room changes and cancellations in the housing system, including all associated system transactions and resulting housing fee adjustments.
- Collaborate with campus partners to create, update, and review Housing License Agreements, terms and conditions, and addendums.
- Translate university housing policies into practical procedures and develop training materials.
