About The Position

We are a warm, down-to-earth family seeking a highly organized and proactive Household Manager & Family Assistant to help keep our lives running smoothly. We split our time between our Brownstone in Harlem, NY, and a lake house in Putnam Valley, NY. Our family includes two young children and a senior dog. We value kindness, humor, and a sense of calm. This part-time role (15-20 hours per week) will focus on maintaining household organization, managing inventory, running errands, providing administrative support, overseeing vendors, and assisting with family needs. The ideal candidate will bring a positive energy, a project manager's mindset, and the ability to proactively identify and solve household challenges. Flexibility and a collaborative spirit are key, as we want to focus on quality family time.

Responsibilities

  • Create and maintain household organization systems across both properties.
  • Perform daily resets and prepare the home for cleaning services.
  • Tidy up as needed (toys, artwork, dishes, surfaces, crumbs) and perform weekly fridge/freezer organization.
  • Manage seasonal swaps for clothing, decor, bedding, and outdoor items.
  • Prepare and coordinate donation drop-offs.
  • Prepare the home for events, holidays, and guest stays.
  • Assist with packing and unpacking for travel.
  • Plant care.
  • Change batteries, light bulbs, and smoke detectors.
  • Restock pantry/fridge/household supplies.
  • Manage running household supply lists.
  • Maintain pet supplies.
  • Manage and collaborate on household orders and subscriptions.
  • Run errands: post office, returns, dry cleaning, gift shopping, grocery shopping.
  • Handle mail and package deliveries; break down boxes.
  • Maintain awareness of family calendar, including household schedules.
  • Assist with and manage family projects (e.g., organizing children’s artwork, printing photos, school/camp forms).
  • Track receipts and budget for expenses incurred as house manager.
  • Occasional help with event and appointment coordination.
  • Oversee occasional deep cleans of fridge, oven, and baseboards.
  • Refresh garage, mudroom, and entryway areas.
  • Clean and maintain humidifiers, air purifiers, washer/dryer, dishwasher, ice machine, etc.
  • Tackle major organizational projects (toys, gear, pantry, basement, mudroom).
  • Prep backpacks and activity bags with necessary items.
  • Coordinate occasional babysitters.
  • Manage kid-related errands.
  • Provide emergency backup for pickups, drop-offs, and light child supervision (not a regular duty).
  • Oversee cleaners, contractors, landscapers, and other vendors.
  • Research and coordinate repairs and quotes.
  • Manage seasonal property maintenance.
  • Manage outdoor spaces.
  • Manage multiple properties (Harlem and Hudson Valley).
  • Ensure property readiness.
  • Oversee home systems (HVAC/security/water filter).
  • Conduct routine property walkthroughs in Hudson Valley.
  • Wash, fold, and organize laundry (Upstate Only).
  • Maintain tidy and well-stocked laundry area.
  • Occasional vehicle management: charging/organizing/scheduling cleanings.
