About The Position

House Manager & Family Assistant (with Meal Prep Support) Location : Oakland, CA 94618 Employment Type : Part-time (25–30 hours/week) Proposed Start Date : ASAP Compensation : $30–40/hour (based on experience) Proposed Schedule : 4 days a week from 1-7PM Approx. 25-30 hours per week (potential for more during busy periods, weekends, or date nights) Requirements : Maintain a smoke-free environment Must have reliable transportation (mileage reimbursement available) Comfortable using family vehicle Flexibility with schedule, able to adapt to varying work hours and needs Prior experience in childcare or early childhood education is a plus Willingness to travel with the family as needed About Our Family: We are a vibrant, lively family of four, with two wonderful, active kids who are always on the go! Our lives are filled with enriching activities, laughter, and lots of moving parts. We thrive on maintaining strong connections to our community while balancing our careers and family life. With one parent working in the tech industry with a demanding schedule, and the other starting a new business, we are seeking a sense of balance and we’re looking for someone who can help us stay organized, keep our schedules running smoothly, and be proactive in supporting our ever-changing needs. Our home is filled with joy and enthusiasm, thanks in part to our playful dog who’s an important part of the family. Our two children attend a nearby school, with drop-offs around 8-8:30 AM and pick-ups at 5 PM (with an early 3:30 PM pick-up on Fridays). We are looking for someone to help us keep everything running smoothly with day-to-day organization and support. What We’re Looking For: We need a fun, loving, and dynamic individual who is intuitive and can keep up with our fast-paced household while helping maintain structure, organization, and overall warmth. The ideal person will have a background in child development or education, and be confident in setting gentle yet firm boundaries. You’ll play a key role in our family’s day-to-day activities, bringing a caring and proactive approach while adapting to our family dynamics. We’re looking for someone who can take the initiative to keep home systems running smoothly, has great attention to detail, and is comfortable working independently, but also knows when to ask questions, collaborate, and communicate clearly. Responsibilities

  • Household Management & Organization Maintain household organization systems for closets, storage, pantry, and toys
  • Perform daily resets and tidy rooms to ensure overall neatness, preparing the home for cleaning services
  • Oversee and coordinate household schedules and calendars
  • Conduct seasonal swaps for clothing, décor, bedding, etc.
  • Prepare and manage donation drop-offs and pick-ups
  • Assist with packing and unpacking for travel or seasonal transitions
  • Supervise or coordinate with service providers and vendors (e.g., handymen, cleaners, landscapers)
  • Load/unload the dishwasher, wipe down surfaces, and vacuum high-traffic areas
  • Maintain the health and appearance of indoor plants
  • Inventory Management & Errands Track and restock pantry, fridge, toiletries, and household supplies as needed
  • Create and manage ongoing household supply lists
  • Coordinate and manage household orders (e.g., Whole Foods, Amazon)
  • Run errands including grocery shopping, returns, and gift shopping
  • Meal Planning & Preparation Plan and prepare healthy meals and snacks for both adults and children
  • Pack school lunches or cook fresh dinners, lunches, and snacks for the family
  • Shop for groceries and meal-related items based on family preferences
  • Follow dietary needs and family preferences, emphasizing organic whole foods, grass-fed, and pasture-raised options
  • Clean the kitchen after meal prep and ensure it remains tidy
  • Laundry & Linen Care Backup, only as needed
  • Pet Care Feed and walk the dog regularly
  • Schedule and coordinate vet appointments, grooming, or daycare as needed
  • Available to house-sit or dog-sit when the family travels
  • Keep pet supplies stocked and organized
  • Vehicle Management Schedule and oversee vehicle maintenance, including oil changes and inspections
  • Ensure vehicles are regularly fueled, cleaned, and organized (weekly vacuuming included)
  • Track vehicle registration, insurance, and service schedules
  • Vendor & Property Oversight Schedule and supervise service providers, such as cleaners, contractors, and landscapers
  • Research and coordinate repairs, maintenance, and quotes as needed
  • Manage routine upkeep across one or multiple properties
  • Oversee outdoor spaces and seasonal maintenance needs (e.g., hot tub, BBQ, lawn care)
  • Serve as the primary point of contact for all vendors
  • Family Support & Child Assistance Assist with and align the family schedule, including school and activity pick-ups or drop-offs
  • Provide light supervision, playtime, or back-up childcare when needed
  • Prepare backpacks, clothing, and snacks for school
  • Help with child-related laundry or errands
  • Deep Cleaning & Special Projects Tackle occasional deep cleaning tasks such as the fridge, oven, baseboards, etc.
  • Maintain and refresh specific zones in the house (entryways, garage, mudroom)
  • Clean humidifiers, washing machines, and air purifiers on a monthly basis
  • Organize and manage special projects like closet clean-ups, toy storage, seasonal decorations, and gear rotation
  • Administrative & Personal Assistant Support Assist with travel planning, scheduling, and logistics for the family
  • Manage family calendars, reminders, and appointments
  • Handle basic budgeting or receipt tracking for family expenses
  • Partner with parents to provide administrative support for family organization, schedules, doctor appointments, etc. as needed
