About The Position

The Rooms Allocation & Planning Manager coordinates guest room allocations across a multi-building conference center to support learning and meeting programs, guest needs, and campus operations. This role analyzes program schedules, room-night demand, arrival and departure patterns, room inventory, and building capacity to develop efficient allocation plans and identify operational risks. The manager also leads a small team of coordinators and partners with Event Management, Rooms Division, and other operational teams to translate program data into actionable accommodation plans and support decision-making.

Requirements

  • Hospitality management experience required.
  • 2 years’ experience in the hospitality industry required, preferably in Rooms or Event Management.
  • Strong computer skills.
  • Proficient in Microsoft Excel and Outlook.
  • Knowledge of a Hotel Property Management System required.

Nice To Haves

  • Microsoft Teams, Word, PowerPoint, and OneNote experience are desirable.
  • Infor experience desirable.

Responsibilities

  • Lead a small team of direct reports, including hiring, training, coaching, performance feedback, scheduling, time approval, and ongoing staff support.
  • Develop and implement guest room allocation strategies aligned with learning and meeting programs, guest needs, room inventory, and building capacity.
  • Analyze current and future program schedules to forecast room-night demand, identify capacity pressures, and anticipate allocation conflicts.
  • Translate Event Management System data and program requirements into actionable accommodation plans by evaluating arrival and departure patterns, length of stay, room quantities, and building demand.
  • Monitor room inventory, building utilization, and allocation performance to improve alignment between accommodations and program needs.
  • Conduct scenario planning to assess the impact of changes in program dates, group size, arrival patterns, room demand, or building assignments.
  • Identify and mitigate risks related to wait-for-room situations, room readiness, guest relocations, displacement, and building imbalances.
  • Partner with Event Management, Front Office, Housekeeping, Reservations, and other operational teams to validate and execute allocation plans.
