We are located downtown in the Batman Building. The shift is 8-5. Parking is paid for.

Requirements

  • High School Diploma or equivalent
  • Minimum of 1-year professional level work experience
  • Previous experience in a client service oriented field preferred
  • Willingness and ability to learn new skills
  • Be personable, articulate, knowledgeable and professional in presenting oneself in a professional setting
  • Ability to lift or move 40 lbs. or greater
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand or sit for an extended period of time
  • Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc)
  • Excellent customer service skills
  • Good communication skills
  • Ability to multi-task
  • Do not mind cleaning up after others

Responsibilities

  • Deliver an elevated concierge-level experience by greeting guests, responding promptly to requests, and ensuring all interactions reflect a polished and service-oriented approach.
  • Prepare and set up meeting rooms according to detailed specifications, including arranging furniture, audiovisual equipment, and providing hot and/or continental meals such as breakfasts, lunches, and catered meeting refreshments.
  • Conduct routine inspections of assigned floors to ensure all conference rooms, visiting office spaces, and pantry/kitchen areas are clean, well-maintained, and fully stocked with necessary supplies.
  • Ensure all visiting offices and temporary workspaces are organized, cleaned, and stocked daily, maintaining a professional and welcoming environment for guests and staff.
  • Assist with miscellaneous service requests such as supply delivery, event setup, equipment needs, or other operational support tasks as assigned.
  • Provide flexibility in handling evolving and simultaneous priorities.
  • Utilize various software systems, scheduling tools, (I.e., room booking systems) to manage tasks efficiently.
  • Provide coverage for occasional after-hours firm events, ensuring smooth setup, coordination, and breakdown as needed to support internal and client-facing functions.
  • Provide support for miscellaneous requests and flex services with a “can do” attitude and philosophy.
  • Maintain a positive team-player mentality.
  • Invest proper effort and QC approach to deliver highest quality work and service.
  • Comply with Opensity’s standards of operations as set forth in the contract agreement, the site operations manual, and the employee handbook.
  • Uphold the Standards of Service and best practices developed by Opensity.
  • Provide Reception back-up coverage.
  • Be cross trained to handle production and mail duties.
  • Follow established guidelines and procedures for receiving, documenting, organizing and distributing client kitchen supplies.
  • Ensure customers request to set-up meeting rooms in a timely matter in accordance to Opensity's standards and instructions given by the client.
  • Exhibit ability to take verbal instructions while taking notes to properly respond and handle client service requests.
  • Exhibit excellence in customer service and the ability to serve others.
  • Provide immediate attention and acknowledgment to customers entering kitchen area in accordance with OPensity's standard of operation.
  • Perform walk through of various floors to inspect and ensure that all rooms are clean, stocked with supplies and ready for the next meeting.
  • Cleaning, dusting and other incidental tasks as assigned.
  • Monitor and listen to customers to understand inquiries and requests in order to provide accurate and prompt assistance with meeting room set-up and clean up.
