About The Position

The Hospital Scheduler is responsible for planning, organizing, and managing the hospital scheduling process, including nursing, behavioral technician, and nursing support positions. This role ensures a completed daily schedule for hospital staff, monitors all IPN staff schedules for balanced coverage across units and shifts, and maintains a positive, proactive customer service approach through cooperation and communication within the hospital, other departments, and with outside stakeholders. The scheduler must stay knowledgeable about staffing agency rules and regulations and new trends in the medical staffing and healthcare industry. They will collaborate with the VP of Acute Care Services/Director of Nursing or designated staff to develop schedules, analyze scheduling deficits, and ensure appropriate coverage. Additionally, the role involves monitoring timesheets in Paycom, ensuring corrections are made, and submitting timesheets, verifying that staff transfer their time correctly. Other duties may be assigned to meet program and departmental goals.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 1 years of experience in a healthcare setting, preferably in a scheduling or administrative role.
  • Experience with inpatient scheduling systems and processes.
  • Knowledge of scheduling practices is a must
  • Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Strong communication skills, both written and verbal, to interact with patients, families, and healthcare professionals.
  • Proficiency in using scheduling software and electronic health record systems.
  • Ability to work collaboratively in a team environment and maintain a professional demeanor in high-pressure situations.
  • Detail-oriented with a commitment to accuracy and quality in scheduling and documentation.
  • Knowledge of HIPAA regulations and the importance of patient confidentiality.

Responsibilities

  • Responsible for providing a completed daily schedule for hospital staff on a daily basis.
  • Monitors all IPN staff schedules to ensure balanced coverage on all units and all shifts.
  • Maintain positive, proactive customer service approach through cooperation and communication within the hospital, other departments/programs within the organization and with all outside stakeholders.
  • Maintain knowledge of staffing agency rules and regulations and any new trends in the medical staffing and healthcare industry.
  • Work with the VP of Acute Care Services/Director of Nursing or designated staff to develop schedules, analyze scheduling deficits and ensure that appropriate coverage is provided on a daily basis.
  • Monitor timesheets in Paycom and ensure corrections are made throughout the pay period. Responsible for entering and submitting timesheets in Paycom and ensures that staff transfers their time correctly.
  • Perform other duties as required to meet program and departmental goals and objectives or as assigned by the Director of Nursing.
