About The Position

Since 1986, we’ve created over 1,250 housing solutions for more than 3,000 people and successfully advocated for fair housing policies at the city, county, and state levels. As we set our sights on serving an additional 1,000 families by 2031, we need the right team members to help us get there. The Homeowner Services Coordinator provides administrative and applicant support to the Homeowner Services team, helping prospective homebuyers navigate the application process through timely communication, document collection, file maintenance, application assistance, and accurate tracking of applicant information. This role also serves as a welcoming point of contact for visitors and callers and provides general front desk and office support, including coordinating mail, meeting spaces, and Homeowner Services meetings and events.

Requirements

  • High school diploma or GED.
  • 1+ year of customer service experience.
  • 1+ year of administrative and recordkeeping experience.
  • Ability to work independently and proactively with limited supervision.
  • Proficiency in Microsoft Office, particularly Outlook and scheduling functions.
  • Must have a valid driver license with a good driving record and access to reliable transportation.

Nice To Haves

  • Associates degree, business school certificate, or related education.
  • Experience working in a non-profit environment.
  • Experience using a multiline phone system.
  • Bilingual in English and Spanish.

Responsibilities

  • Organize and facilitate homebuyer application assistance sessions, information sessions, and other applicant-focused events.
  • Follow-up with applicants via email or phone, providing information about the homebuyer application process, eligibility criteria, required documentation, and next steps.
  • Follow-up with applicants to request required documentation, identify missing information, and support timely application processing.
  • Maintain organized and accurate applicant files, ensuring documents are properly saved and filed in designated systems and workplaces.
  • Enter, maintain, and update applicant information, application status, and tracking information in HomeKeeper.
  • Review applicant files for completeness and accuracy and communicate outstanding requirements to applicants and Homeowner Services team members.
  • Process applicant information and documentation in accordance with applicable legal, regulatory, and program requirements, including Fair Housing, the Equal Credit Opportunity Act, and Equal Opportunity requirements.
  • Maintain required HFHI Qualified Loan Originator (QLO) certification and complete applicable continuing education and compliance requirements.
  • Serve as a welcoming point of contact for visitors, clients, and guests, directing individuals to the appropriate staff member or location.
  • Answer, screen, and route incoming phone calls; respond to general questions about Habitat for Humanity SKKC programs and services; take messages; and schedule appointments as appropriate.
  • Coordinate incoming and outgoing mail, deliveries, and FedEx pickups and ensure appropriate coverage when unavailable.
  • Manage conference room calendars, assist with scheduling conflicts, and support meeting and visitor coordination.
  • Maintain and organized and welcoming office and breakroom environment, including coordinating office supply orders and restocking needs.
  • Coordinate and support reception volunteers, including providing training and ensuring appropriate front desk coverage.
