About The Position

The Home Health Services Department Secretary provides essential administrative support to the Home Health Services Department within the Human Services Division. This role involves managing personnel records, assisting staff with paperwork, tracking sign-in/out procedures, preparing purchase orders, and supporting meeting and travel arrangements. The secretary also assists with data gathering for reports, grant filing, budget monitoring, and maintaining department equipment and supplies. Additionally, the role requires managing the department calendar, ordering supplies, scheduling vehicle maintenance, and ensuring the confidentiality of sensitive information. The position emphasizes professionalism, courtesy, respect, and sensitivity in all interactions, representing the Fond du Lac Band of Lake Superior Chippewa positively in the community.

Requirements

  • High School Diploma or G.E.D. required
  • One-year office experience is required.
  • Knowledge of computer applications to include word processing, Access, Excel and Microsoft Outlook is required.
  • Ability to communicate effectively orally and in writing is required.
  • Ability to work independently and establish priorities is required.
  • Attention to detail and accuracy is required.
  • Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
  • Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation’s Personnel Policies.
  • Subject to pre-employment and annual background checks.
  • Subject to immunization review and submitted proof of required vaccinations.
  • Travel is required.

Nice To Haves

  • Previous secretary or Office experience preferred.
  • Knowledge of Native American communities, culture, customs, and beliefs is preferred.
  • Experience working with Native American clients, communities, and the ability to demonstrate cultural sensitivity is preferred.

Responsibilities

  • Receive telephone calls from staff and clients, taking and relaying messages to appropriate staff.
  • Maintain Home Health Services Department staff personnel records, including licenses, CPR certifications, continuing education, medical information, driver's licenses, and proof of car insurance.
  • Assist Home Health Services Department staff in updating necessary paperwork for their job duties.
  • Track Home Health Services Department staff sign-in/out procedures to enable effective communication.
  • Prepare purchase orders and check requests as needed.
  • Assist in gathering data for reports.
  • Assist in planning and arranging meetings, conferences, and travel for Home Health Services Department staff.
  • Maintain copies of all local and long-distance travel done by department staff and submit requests and reports to Human Services (HSD) Administrative Services staff.
  • Assist staff in maintaining department equipment, supplies, educational material, and client records in an orderly and readily available fashion at both MNAW and CAIR.
  • Assist Home Health Services Department staff in community screenings, immunization clinics, and other HSD activities.
  • Assist Home Health Services Department Coordinator with grant filing and organization.
  • Assist Home Health Services Department Coordinator in monitoring the department budget and other grant budgets within the department.
  • Attend all department meetings, take minutes, and distribute copies to staff in a timely manner.
  • Manage Home Health Services Department calendar.
  • Order, deliver, and pick up supplies as needed.
  • May be requested to work at other Human Service Division locations or off-site for community events.
  • Schedule all maintenance for department vehicles.
  • Ensure appropriate work attire is worn.
  • Attend all mandatory department trainings.
  • Ensure confidentiality of financial records and all records for employees and/or clients.
  • Display a responsive and professional manner in promptly responding to all requests, complaints, and problems.
  • Recognize that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others.
  • Represent the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
  • Maintain proper attendance and report to work on time.
  • Maintain a clean and organized work area.
  • Be flexible and assume other responsibilities assigned by management as deemed necessary.
