About The Position

The Quality Hold Coordinator is responsible for administering and managing the facility's product hold program to ensure all non-conforming products, ingredients, packaging materials, and work-in-process inventory are properly identified, segregated, documented, investigated, and dispositioned in accordance with company policies, customer requirements, regulatory standards, and food safety programs. This role serves as a critical link between Quality, Operations, Warehouse, Production, and Supply Chain teams to minimize risk, maintain inventory accuracy, and ensure only safe, compliant product is released to customers.

Requirements

Minimum 2 years of experience in food manufacturing, quality assurance, warehouse inventory control, or food safety preferred.
Experience with non-conforming product management and inventory systems preferred.
Understanding of GMPs, HACCP, SQF, FDA regulations, and food safety principles.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities in a fast-paced manufacturing environment.
Effective written and verbal communication skills.
Strong problem-solving and investigative skills.
Proficiency in Microsoft Office, including Excel.
Experience using ERP, WMS, or inventory management systems preferred.
Ability to analyze data and prepare reports.
Ability to work in a manufacturing environment, including exposure to varying temperatures, noise, and food production processes.
Ability to stand, walk, bend, and move throughout the facility for extended periods.
Ability to lift up to 25 pounds occasionally.
Ability to wear required personal protective equipment (PPE).

Nice To Haves

Associate degree in Food Science, Quality Assurance, Biology, Microbiology, Supply Chain, or related field preferred.
Equivalent combination of education and relevant experience may be considered.
Experience in a co-manufacturing environment is highly desirable.

Responsibilities

Coordinate and maintain the facility's product hold program.
Identify, document, and place products on hold when quality, food safety, regulatory, customer, or operational concerns arise.
Ensure physical and electronic hold controls are established and maintained within inventory management systems.
Verify held materials are properly labeled, segregated, and secured to prevent unauthorized use or shipment.
Monitor held inventory daily and maintain accurate hold inventories.
Assist in investigations related to product deviations, consumer complaints, food safety concerns, and non-conforming product.
Collaborate with Quality, Operations, Warehouse, and Supply Chain teams to determine root causes and corrective actions.
Coordinate disposition activities including release, rework, relabeling, donation, destruction, return to supplier, or other approved outcomes.
Ensure all dispositions are reviewed and approved by authorized personnel prior to execution.
Follow up on outstanding holds to ensure timely resolution.
Maintain accurate records related to product holds, investigations, dispositions, and corrective actions.
Ensure compliance with FDA regulations, USDA regulations (as applicable), Good Manufacturing Practices (GMPs), HACCP, SQF/BRC requirements, customer specifications, and company policies.
Prepare reports and metrics regarding product holds, aging inventories, disposition status, and quality trends.
Support internal audits, customer audits, regulatory inspections, and third-party certification audits.
Reconcile held inventory against system records.
Partner with Warehouse personnel to verify inventory accuracy and location management.
Monitor inventory aging and escalate concerns regarding prolonged holds.
Assist with cycle counts and inventory verification activities involving held materials.
Serve as the primary point of contact regarding held products and disposition status.
Communicate hold status updates to plant leadership and affected departments.
Participate in cross-functional meetings involving product quality and food safety concerns.
Provide training and guidance to employees regarding proper hold procedures and product identification requirements.
Identify opportunities to improve hold management processes, inventory controls, and disposition workflows.
Assist in implementing corrective and preventive actions to reduce recurring quality issues.
Support Quality and Food Safety initiatives focused on waste reduction and customer satisfaction.
