About The Position

Provide a majority of the computer work in the counseling office. Answering telephone calls and taking messages; overseeing office aides by delegating work and tracking their attendance. Assist senior students in the college/scholarship application process.

Requirements

  • High School Diploma or General Education Degree (GED).
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups, staff, parents, and the general public.
  • Ability to plan budgets and use the mathematical skills required to do so.
  • Maintain accurate records and support documentation for projects under the supervision of the position.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Ability to use computer and computer related programs and other technologies needed to perform essential job functions.
  • Ability to apply knowledge of current research and theory.
  • Ability to establish and maintain effective working relationships with students, staff, and the community.
  • Ability to organize and chair or facilitate committees and meetings.
  • Ability to communicate clearly and concisely both in oral and written form.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.

Responsibilities

  • Design and prepare documents in word processing files (i.e. various types of letters, memorandums, handbooks, charts, calendars, newsletters, etc.)
  • Create, prepare, and distribute various reports on the OSIRIS system. provide student lists and mailing labels for in-school personnel and approved outside but school related organizations (i.e. Booster Club, Parent Group, etc.)
  • Update and maintain student database files for addresses and the related map, street and transportation codes.
  • Provide telephone support by answering, taking messages and/or routing calls.
  • Receives students, parents and visitors in office providing assistance in answering questions, distributing materials and information.
  • Ensure all forms used in counseling office are kept current and an adequate supply remains on hand at all times.
  • Maintain calendars used for reserving conference room, testing rooms utilized for meetings, support groups and other gatherings.
  • Prepare homework requests and distribute to teachers. When homework is turned in, ensure all teachers have submitted and prepare for designated person to pick up.
  • Prepare staffing requests and notify teachers.
  • Prepare confidential grade requests, distribute to teachers, track as they are returned and contact parent(s) with information.
  • Apply minor first aid treatment as needed to students (contact school nurse if necessary).
  • Notify students of scholarship opportunities; make copies of all scholarships; type and mail scholarship applications, etc. Process and check college applications for completeness and accuracy. Obtain official transcripts, etc.
  • Responsible for making sure a diploma card is filled out by each senior. Assist in setting up Senior Awards program.
  • Other duties may be assigned.
