About The Position

Our client is an innovative leader in the industrial engineering and mining solutions sector, dedicated to delivering specialized equipment, operational excellence, and technical precision. To support their rapid commercial momentum and executive leadership, they are seeking an exceptional High Level Executive Assistant. This high-impact role goes beyond traditional administration—acting as the strategic central hub for two C-suite executives to drive operational discipline, maximize leadership bandwidth, and reinforce management accountability across the business.

Requirements

  • 5+ years of experience in a high-level Executive Assistant, Operations Coordinator, or Business Performance role, ideally supporting multiple executives or senior leadership teams.
  • Prior experience working in engineering, mining, manufacturing, heavy industry, or technical operations environments.
  • Proven expertise in inbox management, decision preparation (drafting actionable options/recommendations), and calendar strategy.
  • Exceptional verbal and written communication skills with the ability to interface confidently with external clients, commercial partners, and internal managers.
  • Ability to analyze operational bottlenecks, understand commercial sales pipelines, and identify business risks early.
  • High emotional intelligence to maintain strong management accountability while fostering collaborative internal relationships.

Responsibilities

  • Provide high-level, dual-executive support; manage complex calendars, coordinate travel, prepare key documentation, and triage inboxes to transition leadership toward an exception- and decision-based workflow.
  • Construct concise daily executive briefs detailing top priorities, urgent decisions, and key commercial updates; run the weekly operational cadence including setting and tracking "Big 5" priorities.
  • Capture, register, and rigorously follow up on strategic action items, customer commitments, and internal deliverables across departments.
  • Serve as an administrative catalyst—supporting senior leadership (including Sales and Engineering managers) by keeping commitments visible and establishing recovery plans for delayed deliverables.
  • Track sales pipeline health, ensure active customer opportunities have defined next steps and owners, and maintain visibility over key customer contacts and proposals.
  • Continuously streamline internal administrative tasks, aiming to reduce routine administrative workload for senior executives by up to 30%.
