POSITION SUMMARY Our Healthcare Scheduler is the primary contact between our nurses and patients, families, and clients. This position coordinates the needs of our patients and clients with the availability of our nursing staff of all disciplines and is vital to the consistency in care and staffing within the agency. This position is the point of contact and front line of the HiHealthCare team for our patients and nursing staff. The Healthcare Scheduler position works in the main office in downtown Honolulu, Monday through Friday. This position reports directly to the President while providing additional support to the Clinical Director, Nursing Supervisors, and broader HiHealthCare leadership team . This position plays a critical role in ensuring continuity of care, effective communication, and consistent support for scheduling operations and back-office staff. The role may include after-hours or weekend call responsibilities as needed. This position will be required to meet and maintain any certifications and requirements set forth by the Agency and State and Federal Regulations. The salary range for this position is based on experience.

  • High school degree or equivalent.
  • A minimum of one (1) year of experience in scheduling or coordinating position.
  • Proficient knowledge of Adobe Acrobat and MS Office, including Word, Excel and Outlook.
  • This position works directly with clients, patients and staff from varying demographics and backgrounds, the Healthcare Scheduler must be able to communicate and listen carefully and professionally.

Nice To Haves

  • The ideal candidate has previous staffing/scheduling experience in a health care setting.
  • Experience in medical office or health care preferred.
  • Experience with fax, e-fax, and standard office equipment preferred.

Responsibilities

  • Point of contact for all nursing staff, taking calls regarding availability, needs and special requests.
  • Tracks and inputs all staff, patient, and client schedules and availability in to our patient care system according to Agency standards.
  • Coordinates with both staff, patients, and clients to building staffing patterns based on availability and compatibility.
  • Responsible for maintaining all records pertaining to nursing staff and patient schedules.
  • Maintain all paperwork and records of absenteeism, requests, schedules etc. and keep Clinical team apprised of all areas.
  • Responsible for direct communication and reporting to Clinical team and other leadership to include but not limited to: call-ins, cancelations, requests for time off, overtime, client feedback, etc.
  • Inputs data and builds master schedules in our Point of Care System.
  • Prepares reports pertaining to schedules as directed by President and other leadership for management and tracking purposes.
  • Provide excellent customer service to all internal and external staff and clients.
  • Participates in team meetings, providing updates and reports
  • Contributes to agency policy and standard review and audits as assigned
  • Additional tasks as assigned by leadership
  • Maintains HIPAA compliance.
