About The Position

The Healthcare Coordinator supports the operational management of an assigned patient caseload by coordinating scheduling, processing payroll, and supporting day-to-day branch functions. This role helps ensure patients are appropriately staffed, payroll is accurate and timely, and communication between families, clinicians, and the branch remains consistent. The Healthcare Coordinator plays a key role in maintaining operational flow, data accuracy, and continuity of care.

Requirements

  • Strong organizational skills with the ability to manage multiple cases simultaneously.
  • Ability to prioritize and respond effectively in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Demonstrated ability to build rapport with families and operational staff.
  • Basic proficiency in Microsoft Office and electronic medical record systems.
  • High School Diploma or GED required.
  • Minimum two years of customer service or healthcare coordination experience preferred.

  • Bachelor’s degree in Business preferred.

Responsibilities

  • Support the coordination of an assigned caseload by maintaining accurate staff schedules and coverage.
  • Develop, update, and manage field staff schedules within the electronic medical record system.
  • Monitor open shifts and assist in resolving coverage gaps.
  • Adjust schedules based on call-offs, staffing changes, and patient needs.
  • Participate in on-call rotation to support after-hours scheduling needs.
  • Perform payroll verification for assigned cases, ensuring accuracy of hours worked and alignment with scheduled care.
  • Review and validate time entries in collaboration with clinical staff prior to payroll processing.
  • Identify and resolve discrepancies related to timekeeping, scheduling, and documentation.
  • Maintain accurate records within the EMR related to schedules, hours, and staff assignments.
  • Maintain consistent communication with families and field staff regarding scheduling updates and coverage changes.
  • Support coordination of care in collaboration with operations and clinical leadership.
  • Build positive working relationships that support patient satisfaction and staff retention.
  • Document scheduling updates, payroll notes, and communication in Statewise and other designated systems.
  • Support recruiting efforts as needed, including candidate coordination and onboarding assistance.
  • Assist with general office operations including phones, supplies, and device support.
  • Collaborate with branch leadership to identify and resolve operational issues.
  • Maintain confidentiality of employee, patient, and company information.
  • Adhere to and promote the Compliance Plan.
