About The Position

The Department of Medicine (DOM) is seeking a Health Professions Education Coordinator to join its Education Services team. This position plays a key role in supporting undergraduate medical education by coordinating clinical learning experiences, educational programming, and student-focused initiatives that contribute to the development of future physicians. Reporting to the Medical Student Academic Program Manager, the Coordinator partners closely with faculty, staff, and education leadership to support the delivery of required medical school curriculum within the Department of Medicine. Responsibilities include coordinating clinical rotations and educational activities, recruiting and supporting faculty preceptors, managing program logistics, and ensuring a high-quality learning experience for medical students. The Coordinator serves as a primary resource for students and faculty, providing operational support for educational initiatives while fostering a learner-centered environment. This role also contributes to the continuous improvement of educational programs through process enhancement, data management, reporting, and the use of technology to support curriculum delivery. This position interacts regularly with medical students, faculty, trainees, and staff across the Department of Medicine and the School of Medicine and Public Health. The ideal candidate is highly organized, detail-oriented, and self-directed, with exceptional communication and relationship-building skills. Candidates with experience in higher education, academic medicine, program coordination, or health professions education, and those who enjoy working in a collaborative, mission-driven environment, are encouraged to apply. This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location. Terminal, 24 month appointment This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding.

Requirements

  • 2 years relevant work experience in medical education administration or related field
  • Demonstrated excellent written and verbal communication skills
  • Proficient in Microsoft Office applications, including strong working knowledge of Excel for data management, tracking, reporting, and analysis; highly adept at using software applications such as video conferencing platforms, presentation programs, calendaring systems, and collaborative productivity tools, including Google Workspace.
  • Bachelor’s Degree preferred; focus in health care administration, education administration, public health, or related field preferred
  • Demonstrated ability to behave and communicate in a manner that promotes and fosters a culture of teamwork, inclusion, and cooperation with co-workers, supervisors/managers, and students.
  • Demonstrated ability to work independently, prioritize tasks, and problem solve.
  • Excellent customer service skills and ability to adapt to a changing work environment.
  • Demonstrated experience using Qualtrics or similar survey platforms to administer evaluations, collect and analyze data, and support reporting and continuous quality improvement initiatives.

Responsibilities

  • Orients department and affiliate site coordinators and teaching faculty to curriculum, policies, and logistics
  • Maintains accurate records of the curriculum, evaluations, and participation
  • Schedules evaluations, assessments, and teaching sessions, and creates and maintains the academic year calendar and/or clinical rotation schedules
  • Contributes to the design, development and implementation of curriculum, evaluations and both computer-based and performance-based assessments
  • May manage the unit budget and approve unit expenditures
  • Maintains a thorough understanding of accreditation program requirements, regulatory requirements, and hospital/clinical setting and program policies to ensure accreditation and compliance with regulatory bodies and pertinent policies
  • Partners with faculty and educational leaders to implement initiatives that advance learner engagement, support career development, and strengthen the pipeline of future physicians entering Internal Medicine and its subspecialties.
  • Serves as resource to advise learners of program/institutional policies and procedures
  • Serves as the primary contact for the program, liaising with those directly associated with the program, institutional offices, and affiliated teaching sites, in and out of the state of Wisconsin
