About The Position

This position is responsible for a variety of tasks related to the management and maintenance of medical records. Key duties include prepping, scanning, and quality control checking of records from various departments such as Inpatient, Outpatient, ER, OBV, Sleep Study, and Cardiac Rehab. The role also involves analyzing records for deficiencies, assisting coders and other staff with documentation requests, managing patient data in the patient portal, and handling correspondence. Additionally, the technician will perform preventative maintenance on scanning and office equipment, ensure the accuracy of medical records before filing, and manage telephone and walk-in requests for information. Specific tasks include completing birth certificate worksheets, managing fetal monitor strips, faxing information, reprinting EKGs, and working with records from computer systems and microfilm. The position requires interaction with physicians and other healthcare professionals.

Requirements

  • High School Graduate
  • Typing: 35 words per minute, preferred.
  • Machine Operation: Computers, printers, Scanners, Color Printers, FAX machine, reader printer, Multifunction devices.
  • Must be able to sit at desk for long periods of time.
  • Must be able to lift light loads such as stacks of medical records (25 pounds).
  • Must have the ability to see and read medical records, computer screens, computer generated reports, and all other tools used in the performance of the job.
  • Must have the ability to receive and understand telephone calls, i.e. doctors, healthcare professionals, insurance companies, etc.
  • Must be able to speak clearly and verbally communicate with doctors, healthcare professionals, insurance companies, etc.

Nice To Haves

  • Two-year college degree preferred.
  • Past experience in Health Information Management procedures is helpful, but not required.
  • Knowledge of medical terminology is an asset.

Responsibilities

  • Prepping Medical Records – Inpatient, Outpatient, ER, OBV, Sleep Study, and Cardiac Rehab
  • Scanning Medical Records – Inpatient, Outpatient, ER, OBV, Sleep Study, and Cardiac Rehab
  • Quality Control (QC) check on Medical Records – Inpatient, Outpatient, ER, OBV, and Sleep Study
  • Analyze Medical Records for Deficiencies (paper and electronically)
  • P-work list – re-analyzing Emergency Department Medical Records
  • Assist Coders with Documentation Requests
  • Check for Physician Orders and Signatures in the Analysis and Re-analysis Pool
  • Retrieve, Prep, Scan, QC and Analyze Loose Sheets and Insert into the Correct Medical Record
  • Input Patients into the Patient Portal system
  • Review and Correct the Medical Record Deficiencies in the Pre-Analysis Work List
  • Merge Medical Record Numbers from Patients listed on the Duplicate Number List
  • Assist with Correspondence as Requested by the Release of Information Technician
  • Perform Preventative Maintenance on the Scanning Equipment
  • Perform Preventative Maintenance on the Photocopier and Fax Machines
  • Perform Final Quality Control Check on all Medical Records before Committing to the Permanent File
  • Answer Telephone Calls on Multiple Lines and Complete the Phone Requests
  • Assist with Walk-In Requests for Information
  • Print Lists for all Patient Types for Reconciliation
  • Assist Physicians with Requests
  • Assist Physicians with Sorian Computer System
  • Complete the Missouri Birth Certificate Facility Worksheets
  • Complete the Spreadsheet containing all Pertinent Data on the Mother and Newborn
  • Pick up Fetal Monitor Strips from Obstetrics and Box According to Discharge Date
  • Fax information to Other Healthcare Facilities and Physicians
  • Review Muse for any EKGs that need reprinting
  • Work with Producing Records from the computer system
  • Search for Dictation in Webmedx
  • Reproduce Medical Records from Microfilm
  • Any other duties assigned
