In this role, you will serve as the primary point of contact for individuals and organizations seeking health consultation services, guiding clients through sensitive and complex situations with clarity and professionalism. Requirements

  • Minimum 2 years of experience in healthcare administration, patient intake, consultation, or client-facing role
  • Experience conducting structured consultations involving sensitive or emotional subject matter
  • Strong verbal and written communication skills
  • High attention to detail and comfort working from defined SOPs and escalation protocols
  • Experience using CRM systems
  • Ability to work independently and collaboratively
  • Professional judgment and ability to maintain clear boundaries (no medical advice or clinical interpretation)
  • Prior experience in HIPAA-regulated environments preferred
  • Location and timezone: Remote, Eastern Standard Time (EST)
  • Working Hours: Monday to Friday
  • Expected call volume: High volume of calls involved
  • Software and Tools Required: CRM familiarity required

Responsibilities

  • Gather and document structured medical and case-related intake information without interpretation or clinical judgment
  • Conduct scheduled consultations with prospective and existing clients via phone or video, using established consult frameworks
  • Adhere to all HIPAA, privacy, and confidentiality requirements
  • Collaborate with Marketing Specialist to support CRM workflows, data quality, and continuous improvement
  • Track and manage consult-related CRM data, including consultations completed, conversions, and stalled/lost cases
  • Coordinate with physicians to confirm recommended services and overall case direction
  • Maintain accurate and complete records of consultations, intake information, and outcomes within the CRM
  • Serve as a primary client-facing contact throughout early stages of engagement
  • Conduct follow-up outreach to clients to gather feedback and ensure a consistent client experience
  • Confirm total service costs following physician recommendation and guide clients through next steps
  • Prepare and send engagement and consent materials; coordinate handoff to administrative staff for scheduling and logistics
  • Present service options neutrally, including scope, process, timelines, and pricing; escalate cases to physicians as appropriate
