Position Summary The Head Receptionist serves as the first point of contact for our facility and plays a vital role in creating a welcoming, organized, and secure environment. This position oversees front desk operations, supports administrative functions, and ensures exceptional customer service for residents, families, visitors, and staff.

Requirements

Minimum of a high school diploma
Experience in clerical office activities
Proficiency in the use of general office equipment
Working knowledge of Microsoft Outlook, Word and Excel
Must be organized, confident in handling complex situations, flexible and able to maintain strict confidentiality
Attention to detail, good communication both writing and verbal, ability to multi-task and critical thinking skills are essential
Proficiency in spoken and written English
Ability to understand and respond to residents’ needs and inquiries in English is required
Ability to effectively understand and communicate verbally and in writing, in English, is required
Basic computer skills

Responsibilities

Greet and assist residents, families, visitors, and vendors with professionalism and courtesy
Supervise and support reception staff, including scheduling and training
Manage incoming calls, emails, and correspondence; route inquiries appropriately
Maintain visitor logs and support facility security procedures
Coordinate front desk operations to ensure smooth daily workflow
Assist with administrative tasks such as filing, data entry, and record maintenance
Collaborate with nursing, administrative, and leadership teams as needed
Handle sensitive information with discretion and confidentiality
