About The Position

As our Hard Surface Coordinator, you’ll play a critical role in ensuring that every tile, vinyl, and hardwood installation project runs smoothly from the moment it’s sold to the day it’s complete. You’ll serve as the operational hub between our sales, estimation, and subcontractor teams – managing purchasing, reviewing orders for accuracy, coordinating with subcontractors, and ensuring an exceptional experience for our customers. This role is based full-time at our Chicago warehouse. You’ll report to our Installation Manager and work closely with our installation management and warehouse teams.

Requirements

  • 3+ years of experience in hard surface flooring, installation, purchasing, or related operations roles (tile, hardwood, vinyl, or similar)
  • Strong working knowledge of flooring materials or installation processes
  • Proficiency in Microsoft Office and general digital workflow tools
  • Ability to work full-time, on-site at our Chicago warehouse
  • Technical expertise: You geek out over hard surface products and installation details.

  • Detail oriented: You notice when things don’t reconcile or meet the needs of the job.

Nice To Haves

  • Experience with ERP systems (RFMS or similar) preferred

Responsibilities

  • Solicit and confirm labor quotes for hard surface installations and communicate details to the sales team.
  • Review sold hard surface orders, confirm details with sales and estimation, and proactively resolve potential issues before installation.
  • Manage materials purchasing for sold hard surface orders, including claims when material arrives damaged.
  • Monitor incoming materials, verify accuracy, and ensure all products are received, staged, and ready for installation in coordination with warehouse staff.
  • Coordinate with subcontractors and customers to schedule hard surface installations.
  • Collaborate with installation management leadership and subcontractors to address escalations or jobsite issues.
