About The Position

The HOA Guest Services / Front Desk and Rental Manager Assistant acts as the central hub of community and hospitality operations for the RV resort. This role delivers five-star customer service to residents and guests while supporting the Rental Manager with RV lot booking logistics, property administration, and day-to-day resort operations.

Requirements

  • 1–2 years of relevant experience in hospitality, luxury retail, property management administration, or RV park operations.
  • High proficiency in Newbook rental software, Microsoft Office Suite (Word, Excel, Outlook), and standard office equipment.
  • Excellent written and oral communication skills with a polished, professional, and welcoming demeanor.
  • Ability to remain calm under pressure and resolve customer service issues with diplomacy and tact.

Responsibilities

  • Welcome residents and guests warmly.
  • Answer multi-line phones, respond to emails, and address in-person inquiries.
  • Monitor lobby activity, control community access, and issue guest passes, gate transponders, and resident key fobs.
  • Handle resident parcels sorting and manage incoming mail.
  • De-escalate complaints professionally and route issues to the appropriate department (e.g., maintenance or HOA management).
  • Utilize Newbook software to manage short-term and long-term RV lot rentals, track availability, and process site changes.
  • Coordinate site arrivals, prepare welcome packages, and ensure visitors understand resort rules and lot rental policies.
  • Perform pre-arrival inspections to verify hookup functionality, site cleanliness, and utility access before guest arrival.
  • Assist the Rental Manager with collecting deposits, processing rental payments, and preparing month-end revenue or occupancy reports.
  • Keep accurate, up-to-date homeowner and renter records in the HOA management software system.
  • Assist management by answering baseline questions about CC&Rs, bylaws, and community guidelines.
  • Support the management team with copying, mailing, and organizing paperwork for Board of Directors and annual homeowner meetings.
