About The Position

The Guest Experience Coordinator for Day Golf is responsible for planning, coordinating, and executing magical moments for golf groups, individuals, and special events at Cabot Citrus Farms while driving incremental revenue. Serving as the primary point of contact for day golfers, from contract through departure, this position ensures every detail is executed seamlessly while delivering personalized service consistent with the Cabot brand. Working closely with the Guest Experience Manager, Sales, Golf Operations, Lodging, Food & Beverage, Retail, Reservations, Front Desk, and Accounting, the Guest Experience Coordinator for Day Golf manages contracting groups of +20 people and turns over to Operations at the weekly One Week Out Groups Meeting. This position also reaches out to all day golfers prior to arrival to upsells all offerings, communicates event details across departments, and provides outstanding on-site support to create magical moments for guests. The successful Guest Experience Coordinator for Day Golf is organized, proactive, and passionate about creating magical moments for day guests. They build trusted relationships with guests, anticipate guest needs, communicate effectively across departments, and execute every detail with precision while driving incremental revenue for each group. Through exceptional hospitality and operational excellence, they help deliver the world-class service that defines Cabot Citrus Farms. While the primary role is looking after our Day Golfers prior to arrival, this position will train and be versed in all aspects of Guest Experience.

Requirements

  • Associate's or Bachelor's degree in Hospitality Management, Business, Event Management, or a related field preferred.
  • Two or more years of experience in hospitality, luxury resorts, sales, golf operations, event planning, or guest services preferred.
  • Excellent organizational and time management skills.
  • Outstanding interpersonal and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office; experience with Opera, Agilysys, Canary & Medalia preferred

Responsibilities

  • Serve as an ambassador for the property, the primary contact for Day Golfers and contracts all day golf groups over 20 people.
  • Drives incremental revenue while coordinating all event details, arrival information, tee times, golf pairings, transportation, dining reservations, amenities, gifting, activities, special requests and billing.
  • Conduct planning calls with guests to review itineraries and event requirements while completing a full checklist of required information for operations to succeed
  • Ensures the property has ALL data for each guest relating to names, email address’s, phone numbers, zip codes and handicaps
  • Prepare and distribute group resumes, event orders, and operational communications to all resort departments.
  • Confirm all event details prior to arrival to ensure operational readiness.
  • Coordinate VIP arrivals, welcome gifts, and special amenities.
  • Respond promptly to guest requests and resolve concerns in a professional and timely manner.
  • Ensure seamless execution of all scheduled activities throughout the guest experience.
  • Once trained, have the ability to handle all functions of Guest Experience Team.
  • Ensure that the Golf Team has all needed information and has been introduced to the group lead if these are participating in tournament services.
  • Work with the Security Team to ensure that a complete guest list is provided for all attendees, vendors, etc. coming onsite.
  • Work collaboratively with Sales, Golf Operations, Lodging, Food & Beverage, Retail, Reservations, Front Desk, Housekeeping, and Accounting
  • Maintain clear communication before, during, and after each event to ensure operational excellence.
  • Maintain accurate event files and planning documents.
  • Manages billing?? review with Group Lead, master account reconciliation, and post-event follow-up.
  • Track guest preferences and special requests to enhance future visits and actively works to rebook day guests for future visits.
  • Support the Guest Experience Manager with departmental projects and continuous process improvements.
