About The Position

Working within the Reservations team, the Guest Experience Administrator connects with upcoming guests prior to arrival to confirm details, uncover preferences, and curate personalized experiences. This includes coordinating celebrations, arranging amenities, and securing reservations for dining, spa, and on-property experiences. You serve as both a planner and a trusted resource—ensuring every detail is in place for a smooth and memorable arrival.

Requirements

  • 2+ years of experience in luxury hospitality, reservations, concierge, or guest services
  • Strong communication skills with a warm, polished, and professional tone
  • Highly organized with exceptional attention to detail
  • Ability to manage multiple priorities while maintaining composure and accuracy
  • Passion for hospitality, wellness, and creating meaningful guest experiences

Nice To Haves

  • Experience coordinating guest requests, amenities, or special arrangements preferred
  • Familiarity with reservation and property management systems is a plus

Responsibilities

  • Proactively engage with guests prior to arrival via phone and email to confirm stay details and personalize their experience
  • Identify and coordinate special occasions, celebrations, and custom requests
  • Arrange pre-arrival bookings including dining, spa services, wellness programming, and on-property experiences
  • Collaborate closely with internal teams (spa, culinary, front office, and events) to ensure seamless execution of guest requests
  • Accurately document guest preferences, notes, and arrangements within reservation systems
  • Ensure all amenities and special touches are prepared and communicated ahead of arrival
  • Anticipate guest needs and offer thoughtful recommendations aligned with the property’s wellness-focused offerings
  • Support Reservations team with booking assistance as needed
