About The Position

Rockstar is recruiting for a boutique wealth advisory firm that specializes in serving pre-retirees and retirees. Operating with a close-knit, collaborative team, the firm is known for its warm, educational approach—leveraging media channels, radio presence, and live seminars to generate genuine interest from prospective clients. As a core member of the team, the Growth Opportunities Coordinator serves as the heart of the client journey and the operational driver of the business development pipeline. Operating in a close-knit, collaborative environment, this position focuses on taking ownership of inbound marketing funnels and maximizing pipeline flow to directly support the firm’s net new business goals. Rather than transactional or cold outreach, this role centers entirely on managing and nurturing warm interest generated from active media channels, radio presence, and educational seminars. Grounded in a culture of mutual support, continuous learning, and shared milestones, the Growth Opportunities Coordinator serves as a key strategic bridge between marketing funnels and the wealth advisory team, ensuring prospective clients experience absolute clarity and warmth from their very first touchpoint.

Requirements

  • High degree of proactive self-starting and independent workflow ownership, taking initiative without waiting for direction while maintaining strong team collaboration.
  • Verbal and written interactions that project immediate trust, empathy, and professional credibility to pre-retirees and retirees alike.
  • Critical capability for managing tight advisory calendars, prioritizing multiple follow-up funnels, and tracking lead movement seamlessly.
  • Skill in navigating and maintaining the CRM system, Google Workspace, and scheduling applications.
  • A goal-oriented "follow-up fanatic" who takes pride in exceeding conversion targets, paired with a team-first attitude that brings positivity, flexibility, and a commitment to helping colleagues succeed.
  • Prefers a Bachelor’s degree alongside 2+ years of successful experience within a financial advisory environment, or a proven track record in client-facing scheduling, funnel management, or business development.
  • Outstanding time-management, advanced written communication, and structured organizational capabilities.
  • Proficiency in Google Suite is mandatory.

  • Existing familiarity with modern CRM infrastructure is a significant asset.

Responsibilities

  • Touch base with the advisory team every morning to review the master calendar, deliver lead updates, and synchronize schedule availability.
  • Engage with interested leads via phone, email, and text to seamlessly guide them from curiosity to a booked strategy session.
  • Manage the initial consultation process from start to finish, executing professional confirmation calls and balancing advisor calendars beautifully.
  • Log interactions, track referral sources, and generate progress updates within the CRM system to support the firm’s digital accuracy and ensure no prospect is left behind.
  • Attend educational workshops to facilitate face-to-face scheduling, coordinate on-site requests, and execute critical post-event follow-up campaigns.
  • Distribute calendar notifications and pipeline briefings by the end of each week, giving advisors ample preparation time for upcoming consultations.
  • Actively contribute to an environment where team members cross-train and support one another.
