About The Position

The Growth & Retention Coordinator will ensure that onsite services jobs go smoothly from start to finish. This includes building quotes, planning the job, and seeing it through to close-out. The role serves as the main link between customers, Corporate Onsite Management, field technicians, and remote Onsite Project Coordinators. Responsibilities include writing quotes for new and returning customers, keeping recurring work on schedule, and confirming job readiness before the crew arrives (site access, power, technician certifications). This role is ideal for an organized, proactive coordinator who can manage multiple projects simultaneously and enjoys customer interaction. Experience in coordinating service or field work in an industrial setting is preferred.

Requirements

  • High school diploma or equivalent
  • 2+ years of experience in project coordination, service dispatch, customer service, or field operations in a technical or industrial setting
  • Intermediate to advanced Microsoft Office skills, especially Excel
  • Strong number and analytical skills
  • Excellent communication and organization skills
  • Ability to manage several projects and deadlines at once
  • Self-starter who works well independently and as part of a team
  • Ability to adapt quickly as priorities change
  • Ability to lift up to 50 lbs and climb stairs
  • Occasional work or travel at customer sites

Nice To Haves

  • Associate or bachelor's degree in business, operations, or a technical field
  • Experience with ERP or job-tracking systems
  • Customer service experience in oil and gas
  • Familiarity with calibration, metrology, or ISO 17025

Responsibilities

  • Write accurate quotes for new and returning customers by gathering equipment lists and service needs, building quotes, obtaining management approval, and explaining JM Test Systems' competitive advantages.
  • Keep recurring customers on schedule by following the service timeline: send renewal quotes 60 days before equipment expires, then confirm dates, payment, and site readiness at set checkpoints.
  • Plan and track onsite jobs across all locations from award to completion, reporting progress, milestones, and risks to management for early problem detection.
  • Prepare each job site and crew by confirming the scope of work, site contacts, setup area, and power, and by verifying that technicians have the required credentials (e.g., TWIC cards, site safety training).
  • Work closely with Onsite Project Coordinators at remote locations to ensure consistent planning, scheduling, and communication across sites.
  • Uphold safety and quality standards (ISO 17025, ANSI Z540, ASTM) and maintain current technician compliance and site-access records.
  • Convert quotes into accurate orders and maintain complete customer records for clean handoffs to the field team.
