About The Position

The Groups Sales Manager will serve as the primary point of contact for all group and event clients, guiding them through the planning process from initial inquiry to post-event follow-up. This role involves coordinating with clients to understand their event goals, preferences, and requirements, ensuring all logistical details are addressed. The manager will work closely with sales, catering, and other internal teams to ensure event requirements are met and services are delivered efficiently and effectively. Key responsibilities include overseeing event layouts, schedules, services, and equipment, as well as managing group room blocks and event contracts. The role also involves assisting with pricing, managing budgets, tracking event performance, and coordinating with external vendors. Collaboration with sales and operations teams, along with providing guidance to junior staff, is essential. The ideal candidate will have a strong background in customer service, excellent communication and problem-solving skills, and the ability to work well under pressure in a fast-paced environment.

Requirements

  • Bachelor’s degree in hospitality management, event planning, business administration, or a related field preferred.
  • 3+ years of experience in group and event management, ideally within the hospitality industry.
  • Experience managing a variety of event types, including corporate meetings, conferences, weddings, and social events.
  • Strong background in customer service, with a demonstrated ability to manage high-profile clients and large events.
  • Experience with event management software (e.g., Delphi, Cvent) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational skills, with the ability to handle multiple events simultaneously and prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to build relationships with clients, vendors, and internal teams.
  • High level of attention to detail, ensuring that all aspects of the event are planned and executed to perfection.
  • Strong problem-solving skills, with the ability to remain calm and resourceful when managing unexpected challenges or last-minute changes.
  • Ability to work well under pressure in a fast-paced environment and manage tight deadlines.
  • Knowledge of budgeting, cost control, and revenue optimization in event planning.
  • Familiarity with event industry trends, best practices, and customer preferences.

Responsibilities

  • Coordinate with clients to understand their event goals, preferences, and requirements, ensuring that all logistical details (e.g., room block, catering, A/V, transportation) are addressed.
  • Work closely with sales, catering, and other internal teams to ensure event requirements are met and services are delivered efficiently and effectively.
  • Ensure the successful implementation of event layouts, schedules, and the availability of services and equipment.
  • Oversee the pre-event details including setup, room assignments, timelines, and client specifications, ensuring everything is prepared to meet client expectations.
  • Build and maintain strong relationships with group and event clients, understanding their unique needs and ensuring high levels of satisfaction throughout the planning process and event execution.
  • Provide proactive communication, keeping clients informed and updated on event status, changes, or special requests.
  • Address and resolve any client concerns or issues promptly and professionally, ensuring a positive experience for the client and guests.
  • Follow up with clients after their event to gather feedback, assess satisfaction, and identify opportunities for improvement or future business.
  • Oversee the day-to-day operations of events, ensuring that all services (e.g., catering, audio/visual, décor) are executed according to the event specifications and timelines.
  • Supervise event staff to ensure smooth event operations, making on-the-spot decisions to resolve any issues that arise.
  • Ensure all event equipment is set up and functioning properly, liaising with vendors and internal teams to resolve any technical or service-related issues.
  • Act as the liaison between the client and operational teams during the event, ensuring the smooth transition of event activities and adherence to agreed schedules.
  • Manage group room blocks, ensuring that the group’s accommodation needs are met in accordance with the event requirements and client preferences.
  • Track and monitor group bookings, making adjustments as necessary to optimize occupancy and revenue.
  • Oversee event contracts and ensure that all group agreements are adhered to, including negotiated rates, terms, and special arrangements.
  • Coordinate with the finance team to ensure proper billing and payment processes for groups and events.
  • Assist in setting group pricing, including room rates and event packages, ensuring they align with the hotel’s revenue strategy.
  • Work with the sales and finance teams to manage group budgets, monitor expenditures, and ensure cost-effective delivery of services.
  • Track and report on event performance, identifying opportunities for up-selling or additional services that can increase revenue.
  • Coordinate with external vendors, such as catering, A/V companies, decorators, and transportation services, to ensure seamless service delivery for events.
  • Ensure that vendors meet contractual obligations, and troubleshoot any issues that arise during the event.
  • Maintain relationships with trusted vendors, ensuring quality services and favorable terms for future events.
  • Work closely with the sales team to convert group inquiries into confirmed bookings, providing insights and recommendations for event solutions.
  • Collaborate with operations teams (housekeeping, catering, front desk, and security) to ensure that all event needs are met.
  • Provide guidance and training to junior event staff and coordinators, ensuring the entire team is aligned in providing excellent service and execution.
