Position Summary The Sales & Group Coordinator provides administrative and operational support to the Sales Department by coordinating group business from inquiry through arrival. This position serves as a liaison between clients and hotel departments, assists with group documentation, coordinates reservations and event details, maintains accurate sales and reservation information, prepares reports and dashboards, and supports revenue optimization through organization, communication, and data analysis. The Sales & Group Coordinator plays a critical role in ensuring a seamless experience for clients while supporting hotel operations and maximizing group revenue opportunities.

Requirements

  • High School Diploma or GED required.
  • Advanced proficiency in Microsoft Excel.
  • Advanced proficiency in Microsoft Word.
  • Proficiency with Microsoft Outlook and PowerPoint.
  • Ability to create reports, spreadsheets, dashboards, contracts, proposals, and business correspondence.
  • Strong analytical skills with the ability to interpret occupancy, ADR, RevPAR, group pickup, room block performance, and other key performance indicators.
  • Ability to learn new software systems quickly and accurately.

Nice To Haves

  • Bachelor's degree preferred in Hospitality Management, Business Administration, Marketing, Communications, or a related field.
  • We are willing to train the right candidate who demonstrates exceptional customer service, professionalism, organizational skills, and a strong willingness to learn.
  • One (1) to two (2) years of hospitality, group sales, catering, front office, customer service, administrative, or related experience preferred.
  • Experience using, CI/TY, Marriott systems, Property Management Systems (PMS), or similar hotel software preferred.
  • Bachelor's degree preferred.
  • 1-2 years administrative support experience, additional hotel front desk experience is preferred.
  • Is technologically savvy, with a working knowledge of Microsoft Office, Delphi, PMS.

Responsibilities

  • Provide administrative support to the Director of Sales and Sales Managers.
  • Answer telephone calls and email inquiries professionally and promptly.
  • Coordinate all aspects of group reservations from booking through arrival.
  • Prepare and distribute Group Resumes and communicate group requirements to hotel departments.
  • Maintain rooming lists, group blocks, deposits, cut-off dates, and reservation details.
  • Coordinate VIP arrivals, amenities, upgrades, and special requests.
  • Communicate effectively with Front Office, Housekeeping, Engineering, Food & Beverage, Banquets, and other departments to ensure successful group execution.
  • Maintain accurate information within PMS, CI/TY, and other hotel systems.
  • Review group bookings for accuracy and completeness.
  • Create, update, and maintain Excel spreadsheets, reports, and tracking tools.
  • Monitor group pickup, room block utilization, and booking trends.
  • Assist with occupancy forecasting and revenue reporting.
  • Analyze group performance, ADR, RevPAR, occupancy, and other sales metrics to support business decisions.
  • Identify trends and opportunities that improve operational efficiency and maximize revenue.
  • Review guest and client feedback to identify opportunities for continuous improvement.
  • Maintain organized client files and confidential information.
  • Respond promptly to internal and external requests while providing exceptional customer service.
  • Support department projects and perform other duties as assigned.
  • Deliver exceptional service to guests, clients, and associates.
  • Maintain accurate and timely sales records and reporting.
  • Demonstrate professionalism, integrity, and reliability.
  • Communicate effectively with all hotel departments.
  • Support revenue growth through organization, reporting, and operational excellence.
  • Continuously seek opportunities to improve efficiency and guest satisfaction.
  • Comply with all Albany Marriott and DHM policies, procedures, and brand standards.
