About The Position

The Group Sales Coordinator role is a great opportunity for someone who enjoys a mix of organization, client interaction, and exposure to sales in a fast-paced hospitality environment. This position plays a key role in supporting revenue growth while delivering a seamless, high-quality experience for clients. The Group Sales Coordinator position has two areas of focus: 1) Administrative Support: Administrative efforts to maximize the group sales business in achieving occupancy and financial goals for Kohler owned hospitality businesses. Responsible for providing full support of dedicated Sales Manager(s), fulfill administrative duties and extensive communication throughout resort and with the conference services team. 2) Sales Support & Business Development: Additionally, this role will undertake targeted sales projects and solicit for additional business (outside and inside sales calls) as directed by the DOS and Sales Executives.

Requirements

  • Strong working knowledge of Microsoft Office Products, including Microsoft Excel required
  • Applicants must be authorized to work in the US without requiring sponsorship now or in the future.

Nice To Haves

  • Four Year College Degree preferable but not required
  • Experience with Delphi and Resort Suite highly preferred

Responsibilities

  • Generate client proposals within 12 hours and complete all contracts within 24 hours to support timely booking conversions
  • Respond to all client communications promptly, ensuring a maximum 24-hour turnaround
  • Track and communicate contract due dates, proactively following up with clients to secure commitments
  • Create, develop, and maintain clean, accurate reports to support performance tracking and sales insights
  • Prepare clear and professional communication for both internal teams and external clients
  • Deliver consistent, high-quality service to clients, ensuring a seamless and positive experience
  • Serve as a liaison between Sales and Conference Services to ensure smooth handoff and execution of client needs
  • Coordinate the distribution of “Topline Reports” to Sales Managers, as directed by the ADOS
  • Review and redline contract addendums, partnering with Sales Managers and ADOS for final approvals
  • Conduct monthly outreach calls to past group clients (both definite and turndown accounts) as assigned
  • Support Sales Managers with outbound prospecting efforts, including scheduling client appointments
  • Conduct site visits and showcase Kohler Hospitality offerings to qualified clients
  • Actively identify and pursue new group sales opportunities through targeted outreach to companies and organizations
  • Partner with Sales Managers and ADOS to develop and execute marketing plans for strategic target markets
  • Plan and coordinate assigned events (e.g., FAM trips, offsite promotions), managing timelines and adhering to budget guidelines
