About The Position

We are looking for a highly engaging, customer-focused individual to join our Reservations team as a Group Rooms Coordinator. The successful candidate for this role will have a proven track record of developing a team to provide exceptional service, is open to learning and leading by example, responds in a professional and courteous manner to guests and team, as well as being there to support the team both personally and professionally. The Group Rooms Coordinator plays an integral role in partnering with our Group Sales team, Reservations team and Front Desk to coordinate the group rooms booking process. They ensure that each of our groups has an exceptional experience with organizing and booking their group blocks. They are responsible for creating a positive guest interaction that will build the guests anticipation for their upcoming visit. They must also be knowledgeable on providing accurate information to our groups available rooms, and special events going on during their stay. This role is the key to helping our guests discover their “Wanderlust” experience! Be able to multitask and work on several tasks. Responsibilities

  • Build, prepare and maintain group room blocks and master accounts in the property management system
  • Coordinate with Sales team to ensure all group details are prepared and set up for their arrival.
  • Set up billing patterns and ensure the accuracy of group billing and payments.
  • Answer the telephone and greet guests in a friendly manner using clear, verbal communication.
  • Provide accurate information regarding availability, accommodation types, transportation to and from hotel, rate, etc.
  • Input and retrieve data using a computer reservation system and utilizing codes for efficiency.
  • Answer questions regarding hotel facilities and services, airline partnerships, local attractions, directions, etc.
  • Know, understand, and communicate applicable deposit and guarantee policies as requested.
  • Handle complaints in a tactful manner.
  • Interacts with resort staff in a polite and respectful manner.
  • Other duties as assigned.
