About The Position

The Group Assistant provides comprehensive administrative support to a customer-facing engineering team focused on growth and experience for Microsoft 365 services. This role coordinates meetings and events, supports department financial and personnel operations, manages facility purchasing and operations, and completes special projects as assigned. The Group Assistant also organizes travel arrangements, enforces team policies and procedures, and plays a key role in maintaining smooth day-to-day operations and a positive team environment.

Requirements

  • 1–3 years of administrative experience in a fast-paced environment.
  • Strong administrative support skills, including calendar management, schedule coordination, and operations support.
  • Effective communication skills, with the ability to relate well to diverse individuals and collaborate across the team.
  • Demonstrated project management abilities to coordinate events, meetings, and special assignments.
  • Strong customer service orientation with a willingness to assist and support team members.
  • Excellent attention to detail and organizational skills for managing multiple tasks and priorities.
  • Working knowledge of email, scheduling, word processing, spreadsheets, and presentation software.
  • Experience using the current version of Microsoft Office, including Outlook, Excel, and PowerPoint.
  • Proficiency with Microsoft 365 systems and productivity tools to support team operations.
  • Ability to coordinate events, meetings, and logistics in an office environment.
  • Capability to lift up to 20 pounds as needed for office and event support.

Nice To Haves

  • Experience providing administrator support in an engineering or technology-focused environment.
  • Experience in event coordination, morale programs, and team-building activities.
  • Experience with logistics support, including space management and device management.
  • Prior experience with Microsoft-focused tools and ecosystems, including Outlook and GMM.
  • Experience in travel arrangements and expense reporting support.
  • Familiarity with alias management and distribution list administration.
  • Comfort working onsite five days per week in a collaborative office setting.
  • Ability to adapt quickly, take initiative, and manage special projects with minimal supervision.

Responsibilities

  • Provide general administrative support to the Growth & Experience team within Engineering, ensuring smooth daily operations for a customer-facing organization.
  • Coordinate team meetings, events, and morale programs, including logistics planning, scheduling, and onsite support.
  • Manage calendars and schedules for team members, including meeting coordination and conflict resolution.
  • Support department financial operations, including expense reporting assistance and tracking of team-related expenditures.
  • Assist with personnel-related operations as directed, maintaining accuracy and confidentiality in administrative processes.
  • Coordinate travel arrangements for team members, including booking transportation, lodging, and related logistics.
  • Manage space and facilities operations, including space planning, office moves, and general space management activities.
  • Oversee supply ordering and inventory, including snacks replenishment and general office supplies to support team productivity.
  • Support SAW device management and other device-related logistics to ensure team members have the equipment they need.
  • Maintain and manage team aliases and distribution lists to support effective communication across the organization.
  • Coordinate logistics for team events, meetings, and onsite activities, ensuring all required equipment and materials are available.
  • Use productivity tools and Microsoft 365 systems to support administrative operations, documentation, and communication.
  • Enforce established team policies and procedures, helping ensure consistency and compliance across team operations.
  • Complete special projects and ad hoc administrative tasks as assigned, adapting to changing priorities in a fast-paced environment.
  • Provide excellent customer service to internal stakeholders, responding promptly to requests and supporting a positive team culture.
  • Lift and move office materials or supplies as needed, up to approximately 20 pounds.
