About The Position

The Arizona Advisory Council on Indian Health Care (AACOIHC) is seeking a highly motivated individual to join their team as a Grants Program Coordinator (GPC). This grant-funded position supports the Grants Manager in implementing the America Indian Health - AHEC (AIH-AHEC) program. The GPC will be responsible for coordinating the continuing education and professional development components of the AIH-AHEC program, assisting with the student clinical rotation process for stipend disbursements, and performing data entry of AIH-AHEC participant information into the AzAHEC Salesforce database. The role involves collaborative work with other AIH-AHEC team members to achieve grant goals and deliverables, including assisting with the implementation of professional development and CEU sessions, clinical rotation placements, and community outreach activities. The GPC will work closely with AIH-AHEC partners and Tribal organizations to address workforce needs in American Indian Health and Tribal Health systems.

Requirements

  • Arizona Driver's License.
  • Two - three years' experience in educational/academic advising for students 9-14 regarding career path and academic success, OR Bachelor's degree in a related field with 1-2 years job related experience with students.
  • Computer Skills, including experience with Google Suite and Microsoft Products, Salesforce database
  • Strong writing and editing skills
  • Very strong data entry skills and report writing
  • Extensive contact with various diversified Accreditation Entities across healthcare disciplines
  • Manage financial stipend disbursements and serve as a resource for undergraduate and graduate students
  • Plan professional educational-training opportunities across multiple disciplines
  • Work independently as a team member
  • Manage multiple tasks within an independent work environment, prioritizing tasks to ensure timelines are met
  • Establish and maintain cooperative and effective working relationships
  • Work with a wide variety of healthcare professionals
  • Have a professional and proactive work ethic and work within a team dynamic
  • Successfully pass fingerprint background check, prior employment verifications and reference checks
  • Travel may be required for State business.
  • Employees who drive on state business must complete any required driver training

Nice To Haves

  • Bachelors in Related Field; and 2-3 years of experience in youth career path advising, college admissions, Tribal College; or secondary academic counseling.
  • Experience in working with Tribal organizations and a knowledge of academic program coordination, mentoring and career counseling integrated within Indigenous cultures.
  • Knowledge of Policies, procedures and programs of continuing education and professional development accreditation systems, health care provider education institutions and how they interact
  • Knowledge of Administrative and management practices
  • Knowledge of Public relations techniques

Responsibilities

  • Assists with the processes of the student clinical rotation stipends disbursements, serves as a resource to the students and the Grants Manager for ensuring accuracy with this task.
  • Works closely with the program's Fiscal Intermediary towards ensuring accuracy and accountability with student disbursements.
  • Processes all incoming student stipend applications in a timely basis and according to AZ AHEC requirements.
  • Provides direct assistance to the Grants Manager to develop, manage, and implement operational frameworks and infrastructure for the AIH-AHEC programs.
  • Coordinates professional development and CEU opportunities for healthcare professionals working within Tribal facilities.
  • Obtains educational accreditation through the various CEU accrediting bodies.
  • Responsible for the accurate data entry of AIH-AHEC participant information into the AzAHEC Salesforce database to include all AIH-AHEC activities, and other required information.
  • Attends all database updates meetings and participates in the bi-annual audit of participant information.
  • Serves as the Salesforce Coordinator for the program, ensures data entry is accurate and reportable, provides data reports per schedule.
  • Participates with community outreach and partner meetings as requested, serves as a representative of the AIH-AHEC Team at conferences, Tribal Confers and Gatherings.
  • Assisting with planning curriculum, training programs and conferences associated with the program.
  • Assists with quarterly narrative reports.
  • Assists with the coordination, monitoring and evaluation of programs and projects that are funded by the Rural Health Transformation Program (RHTP) under the direction of the Grants manager.
  • Develops and maintains master files for the RHTP grant and paperwork connected to this program.
