About The Position

The Grant Program Assistant is a temporary, part-time, grant-funded position within the Archdiocese of Baltimore's Catholic schools. This role provides administrative, logistical, and programmatic support for a multi-year leadership development initiative. The position focuses on strengthening the pipeline of school leaders, coordinating grant-funded activities, maintaining documentation, and assisting in the implementation of professional learning opportunities. The ideal candidate is highly organized, detail-oriented, and possesses strong communication and project management skills, with the ability to manage multiple priorities and maintain accurate records of expenditures.

Requirements

  • Bachelor's degree in Business Administration or a related field required; or an equivalent combination of education and experience in data management and tracking sufficient to successfully perform the essential job duties.
  • Experience in program coordination, project management, education, nonprofit administration, or a related field required.
  • Experience managing documentation, budgets, spreadsheets, and administrative processes required.
  • Experience collecting, organizing, and analyzing data to evaluate program impact required.
  • Excellent oral and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects, deadlines, and priorities independently.
  • Proficiency with Google Workspace, including Google Docs, Google Sheets, Slides, Forms, and Drive, as well as Microsoft Excel.
  • Ability to maintain accurate records and handle confidential information.
  • Strong technology and administrative skills.
  • Commitment to the mission of Catholic schools and leadership development.

  • Experience supporting professional development, leadership programs, or educational initiatives preferred.
  • Experience coordinating projects, timelines, or deliverables across multiple stakeholders preferred.

Responsibilities

  • Assist the Director of Instruction and Professional Development with the implementation and coordination of grant-funded leadership development activities, paperwork, and documentation.
  • Maintain organized records and documentation related to grant activities, including participant records, attendance, completion requirements, contracts, invoices, and required reporting materials.
  • Track program participation, collect and report evaluation data, and support the development of reports that measure the effectiveness and outcomes of grant-funded leadership development programs.
  • Assist the Director of Instruction and Professional Development in coordinating logistics for professional development sessions, leadership programs, meetings, and special events, including scheduling, materials preparation, communications, and day-of-event support as needed.
  • Prepare participant materials, agendas, presentations, handouts, and program communications as needed.
  • Support data entry, spreadsheet management, and documentation tracking.
  • Help track expenses, receipts, and budget information related to grant-funded activities.
  • Communicate regularly with principals, assistant principals, aspiring leaders, teachers, presenters, and external partners to support program implementation and data collection.
