About The Position

The Grant Management Specialist will support proposal development and post award management for the Quantum Devices Lab and the MonArk Quantum Foundry. The position supports both pre‑award and post‑award grant activities, including developing proposal narratives and budgets, preparing and submitting grant materials, maintaining a grants calendar, and ensuring compliance with federal and university guidelines. Post‑award responsibilities include budget monitoring, reporting, subaward oversight, procurement coordination, and serving as a resource on grant policies. The role also supports hiring for grant‑funded positions, organizes project‑related meetings and site visits, and assists with award closeout. This is a one‑year appointment, renewable based on need, funding, and satisfactory performance. Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.

Requirements

  • Bachelor’s degree in a relevant field (e.g., Business Administration, Public Administration, Communications, Research Administration, or related discipline).
  • Strong writing, editing, and communication skills with exceptional attention to detail.
  • Ability to work independently with a high degree of accuracy in a deadline‑driven environment.
  • 1–3 years of grant writing, research administration, or sponsored programs experience.
  • Proficiency with Microsoft Office, Microsoft Teams, Workday, and related administrative systems.
  • Professional communication skills and the ability to work effectively with faculty, staff, and external collaborators.
  • Ability to manage multiple deadlines and awards, prioritize tasks, and work independently in a fast‑paced research environment.
  • Ability to maintain confidentiality and handle sensitive information responsibly.
  • Proof of legal authority to work in the United States on the first day of employment.

Nice To Haves

  • Experience preparing large‑scale, multi‑institution proposals in collaboration with universities, national labs, or industry partners.
  • Experience with federal funding agencies and their policies (e.g., NSF, DOE, NIH, DoD).
  • Experience with federal submission portals (e.g., Research.gov, Grants.gov, PAMS, eRA Commons).
  • Experience managing multi‑million‑dollar research budgets.
