About The Position

The Graduate Student Administrative Assistant will provide operational and administrative support to the Amgen Oncology Medical Affairs Fellowship Program. This role will assist with recruitment activities, professional candidate communications, interview coordination, Fellow logistics, and day-to-day program operations tasks. The ideal candidate is professional, organized, detail-oriented, and comfortable managing multiple tasks in a fast-paced, team-based environment. A background in business management or project management is strongly preferred. This is a part-time position with flexible hours, aligned with program needs and key recruitment periods, with peak periods from August to January.

Requirements

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Professional, proactive, and reliable; maintains confidentiality and exercises sound judgment.
  • Proficiency with common office tools (e.g., Microsoft Outlook, Word, Excel, PowerPoint; virtual meeting platforms such as Zoom or Microsoft Teams).
  • Ability to manage multiple priorities and meet deadlines.
  • Demonstrated ability to work both independently and collaboratively within a team.

Nice To Haves

  • A background in business management or project management is strongly preferred.

Responsibilities

  • Support the day-to-day operations of the fellowship program
  • Assist in tracking program timelines and the key milestones for Fellows’ training and rotations
  • Assist with maintaining and updating the program webpage
  • Schedule and coordinate recruitment events (e.g., information sessions, webinars, showcase activities).
  • Assist in preparing event materials if needed (agendas, slide decks, handouts, sign-in sheets).
  • Coordinate and schedule interviews with candidates and interviewers, including calendar management and meeting links/room bookings; track candidate communications (e.g., invitations, confirmations, status updates).
  • Maintain accurate and up-to-date candidate and interview records.
  • Provide logistical support for fellow-related training and meetings.
  • Assist fellows with travel arrangements in accordance with university policies, and support the processing of fellow reimbursements
  • Perform other related administrative and operational tasks as assigned to support the successful execution of the fellowship program.
