Coordinate all aspects of the MS in Information Studies program at the School of Information. Provide academic advising to master’s students. Develop and implement services to facilitate all elements of the Graduate Student Services Office. Requirements

  • Bachelor’s degree.
  • Five years of experience related to graduate program coordination.
  • Demonstrated attention to detail and accuracy.
  • Ability to self- start, learn quickly, prioritize tasks, meet deadlines and follow through on tasks.
  • Demonstrated ability to solve problems as they arise.
  • Ability to interact positively and communicate clearly with supervisor, co- workers, and all constituents including faculty, staff, and students.
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Master’s degree and more than five years of experience as a graduate program coordinator or in student advising.
  • Experience as a Graduate Coordinator or related position within a graduate program at UT Austin.
  • Technical acuity with software and Web apps such as Excel, Google Drive, Box, Qualtrics, etc.
  • Demonstrated experience using technological tools to create and improve system
  • Experience working with UT systems such as EASI, Advisor’s Toolkit, etc.

Responsibilities

  • Serve as primary contact for prospective MSIS, dual degree, 4+1, and SLC students.
  • Manage graduate recruitment activities, coordinate graduate admissions, providing key insights and strategic support to the Master’s Admissions Committee.
  • Contribute to the development of admission systems and resources by designing and refining workflows, as well as providing insightful feedback to enhance efficiency and effectiveness.
  • Oversee admission decision entering and key communication.
  • Liaise with the Office of Graduate Admissions on application and admissions matters.
  • Manage all aspects of new student services from admission through orientation, planning and executing various Admitted Student Day, Registration, and welcome week events, in coordination with other Graduate Student Services staff.
  • Manage and curate student engagement tools while communicating resources to ensure a seamless transition for students, providing clear guidance and support throughout the process
  • Plan, execute and support student life activities in coordination with student organizations and various campus partners (ISSS, ICRM, Career Success).
  • Develop, organize, and lead informational sessions on key academic and student milestones, including Capstone projects, CPT/OPT processes, and graduation requirements.
  • Collaborate with iSchool leadership and Graduate Advisor to revise, maintain, and uphold the MS in Information Studies handbook.
  • Provide key operational and strategic support for both MSIS and PhD programs (when able), ensuring alignment in student services and academic processes.
  • Develop and enhance resources—such as procedural guides, advising tools, and student support materials—to improve accessibility, efficiency, and overall program effectiveness.
  • Serve as an initial contact for student concerns and ensuring timely resolution of academic, student, and administrative items, escalating items to leadership as need be.
  • Provide guidance on university policies, program requirements, and student resources while fostering a supportive environment.
  • Support selection of LASSO Scholarships for new and continuing students.
  • Assists with registration procedures for MSIS students.
  • Provide guidance and advising to current students on program/degree requirements and Graduate School policies and requirements.
  • Assist graduate advisor on petitions and other Graduate School procedures (degree audits, leave of absence, graduation applications).
  • Notify graduate students of various routine deadlines.
  • Provides proactive support to students in navigating academic procedures, deadlines, and general concerns with Graduate School policies.
  • Communicate with iSchool faculty on Graduate School and iSchool policies and program requirements.
  • Maintain detailed student records; track and report student progress semesterly. (CPT, 12th Class Day Reports, Degree Progress, Registration Requests, Graduation).
  • Manage certificate programs and Endorsement of Specializations while maintaining organized spreadsheets for student tracking.
  • Collaborate with other members of the iSchool graduate student services team, including Graduate Program Administrator for the PhD program and the Course Administrator.
